**Job Purpose**:To provide confidential, effective, efficient and flexible administrative support to the school, working closely with colleagues in the small schools Cluster.

**MAIN DUTIES AND RESPONSIBILITIES**:

- Respond to correspondence from both standardised and non
- standardised information, e.g. acknowledgements, requests for information.
- File documentations, after familiarisation with filing systems, in accordance with file location eg new intake forms and correspondence
- Manage the arrival, signing and identification of all visitors ensuring DBS checks are in place where required. Appropriate badges must be allocated to ensure all visitors are clearly identifiable
- Open, sort and distribute incoming post and ensure despatch of outgoing post.
- Answer standard enquiries by telephone or in person from parents / pupils / community users / other employees, giving and resolving non-complex queries within areas of responsibility.
- Daily register management ensuring all absentees are accounted for and follow up calls are made promptly to parents of any ‘missing’ children.
- Input information into database (eg Arbor) and/or spreadsheets, extract information as directed.
- Undertake routine cash handling duties, including receiving and recording payment (e.g. lettings and trip fees), issuing receipts and preparing banking.
- Ensure ParentPay is updated and pursue outstanding payments.
- Effective daily liaison between office and kitchen to ensure accurate and efficient meal production. Ensure kitchen is always informed of trips out to allow planning.
- Work within the GDPR guidelines provided by the Trust and raise any non-conformities to senior leadership.
- Provide information and complete returns to the LA and school management as required.
- Produce a range of documents from a variety of sources, using various software packages (e.g. Excel, MS Forms, and Word).
- Be prepared to undertake professional development and training including whole school inset.
- Carry out duties placed on staff by Health and Safety legislation.
- Adhere to all Health and Safety policies agreed by the school’s Governing Body.
- Be aware of and adhere to all Safeguarding legislation.
- After suitable training, undertake routine risk assessments of all aspects of responsibilities covered in the job description.
- Any other duties suitable to the grade and role of Administrative Assistant.

Part-time hours: 19.5 per week

**Salary**: £10.98-£11.18 per hour
