**JOB DESCRIPTION**

**Post Title**: Receptionist
**Location**: The Broomhill Practice
**Responsible To**:Practice Manager

**Summary**: Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.

**Main duties and responsibilities**:

- Greet patients and visitors to the practice
- Book in, amend and cancel patient appointments ensuring optimum efficiency of the appointment system.
- Ensure patients without appointments but who need ‘urgent consultations are booked into appropriate slots or referred to a GP where necessary.
- Receive and accurately record requests for home visits and printing off patient summary sheets.
- Respond and or redirect all patient and visitors requests accordingly
- Explain practice arrangements and formal requirements to new patients and temporary resident, ensure procedures are completed
- Set-up of new patients onto computer system.
- Advice patients of relevant charges for private services, accept payment and issue receipts for same with guidance from the practice manager.
- Produce repeat prescriptions and ensure timely distribution of completed prescriptions.
- Ensure correspondence, reports, results etc. are filed electronically in correct patient record.
- Ensure reception and waiting areas are kept neat and tidy.
- Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.
- Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes)
- Contact patient for booking review appointments or blood results as request by practice nurse or doctor.
- Ensuring new patient paper notes/electronic notes are filed appropriately and deductions from the practice list are returned promptly to the health board.
- Ensuring all samples handed to reception are passed to appropriate clinician or processed and sent to lab.
- Check fridge daily for lab specimens.
- This job description is not exhaustive and may be adjusted periodically. You may also be expected to be carry out any reasonable duties which may be requested from time to time.
- Work safely at all times in accordance with Legislative requirements and practice policy and procedures.

**Equipment, machinery and systems**:

- Practice clinical system (EMIS) to manage and record patient appointments, inputting patient registration data, accessing patient data.
- Faxing, scanning and photocopying machines.

**Decision and Judgement**:

- The post holder is required to use her/his own initiative when dealing with problems and to make any reasonable and necessary decisions on events as they occur, including:

- Establishing and maintaining effective lines of communication with GPs and practice manager.
- Communicating clearly and effectively with staff to aid the smooth running of the practice.
- Responding to requests or queries for support as they arise in an appropriate and timeous manner.
- Prioritising workload and requests for support.
- Using judgement and experience in helping to determine the relevant urgency of requests for information received from patients and other external organisations.

**Job Types**: Part-time, Permanent
Part-time hours: 17.5 per week

**Salary**: From £12.16 per hour
