**Office Administrator & Trainee Paraplanner**

**A leading Financial Services firm are currently seeking an Office Administrator/Trainee Paraplanner to join their well-established team based in Downpatrick.**

This is a Full-time, permanent position.

Working hours: 9am-5pm

With a salary negotiable dependant on experience

**Job Purpose**:
The Office Administrator and Paraplanner is responsible for organising and coordinating the office and provide full administrative support to the financial advisers and paraplanner.

**Essential Criteria**:

- A good understanding of the different financial solutions available in the market.
- Willing to work towards all relevant qualifications for the position (level 4 diploma qualified).
- Strong analytical, research and numerical skills.
- Excellent IT skills with the confidence of using IT and database packages.
- Excellent communication skills, both written and verbal with the ability to communicate with stakeholders at all levels.
- Ability to manage and prioritise a busy workload - while adhering to tight deadlines.
- Ability to work on your own initiative as well as part of a team.

**Main Duties and Responsibilities**:

- Managing the day-to-day administration function of the office.
- All reception duties.
- Maintain office standards and procedures.
- Providing administrative support to the financial advisers and Paraplanner.
- Minuting Staff/Admin meetings.
- Responsible for organising staff events.
- Maintaining & monitoring FA & Office meeting room outlook calendars.
- Responding to client enquiries and complaints.
- Providing IT/CRM support to staff & the IT & Marketing Manager.
- Responsible for maintaining/ordering all stationery & cleaning consumables.
- Using software to prepare accounts and to prepare reports when needed.
- Responsible for client invoicing.
- Responsible for paying suppliers.
- Recording, Managing & reporting office expenditure.
- Maintain office efficiency by developing and implementing new administrative systems, such as record management.
- Maintain policies/marketing material changes for compliance purposes.
- Maintain professional and technical knowledge by attending relevant seminars and workshops.
- Administration support for the company & Operations directors as and when required.
- Overseeing all compliance issues alongside the company operations director.
- Responsible for collating & producing monthly FA fees for payment to FAs including calculating Introducer fees.
- Responsible for actioning, maintaining & monitoring of Client servicing.
- Overseeing and managing the office facilities cleaning.
- Responsible for Petty Cash expenditure.
- Responsible for Providing Year End figures.
- Responsible for processing letters of Authorities.
- Proposing and drafting financial reports that meet the needs and objectives of the client.
- Carrying out research and analysing products and services that are appropriate to each clients individual circumstances.
- Creating client profiles on the back-office system prior to the first meeting with the adviser & updating this accordingly as the business progresses.
