Executive Assistant

Limited support for the other EMEA Ecosystem leaders will be part of your responsibilities as far as time permits.

What You' will Do:
- Provide full administrative support to the VP.- Own calendar and schedule management, anticipating needs, meeting preparation, meeting follow up and proactively and effectively managing the executive's time while prioritizing customer and partner meetings.- Manage and maintain the team and VP’s regular meeting cadence- Ensure that requests are responded to in a timely manner and use best judgment to assist and make decisions without supervision, when applicable.-
- Manage and maintain monthly expense reports through Concur. Prepare and review expense reports in compliance with Red Hat’s travel and expense policies. Review team’s expense report in VP’s absence- Coordinate travel arrangements through Egencia, managing complex itineraries and booking flights, hotels, ground transportation, etc. Ensuing the VP is organized and prepared for the “end to end” travel details.- Compose and edit presentations and documents for senior management, events and customer meetings.- Creation, management and reconciliation of purchase orders through the POE Business Suites.- Maintain and create mailing lists as needed in Google Groups.- Build relationships with other executive assistants, globally, both internally and with customers and partners externally.- Manage and track key projects, actions and deadlines and monitor deliverables on behalf of the executive, including internal and external meeting preparation, the yearly performance reviews, quarterly bonus allocations, all-hands calls, sales kickoffs and partner conferences.- Maintain a deep knowledge of company operations, policies and procedures.- Use- (SFDC) to help the executive run reports.- Work cross-functionally in preparation for company meetings, organizational communications, etc.- Be proactive in anticipating the executive’s needs and solving challenges before they escalate.- Perform routine administrative and logístical duties.
What You Will Bring- Significant experience working as an executive assistant supporting global organizations & their leaders- Proven ability to prioritize, handle multiple tasks and meet deadlines in a fast-paced environment while maintaining a high attention to detail.- Solid work ethic and positive attitude; ability to work as part of a team.- Demonstrated ability to manage multiple projects and tasks with solid analytical skills.- Experience creating presentations; excellent written and verbal communication skills.- Proven experience ensuring that the executive's calendar is properly managed to maximize effective use of their time, as well as allocate time to critical areas and actions as needed.- Experience coordinating global calendars while working across multiple time zones.- Experience monitoring and tracking impending deadlines.- Excellent planning skills including planning ahead- Proven ability to work independently and display ingenuity in anticipating and handling situations that may arise.
