As the HR Assistant you will provide comprehensive hands on, proactive support to the Head of HR. Highly organised with excellent communication skills, you will have a good understanding of HR processes, a calm, confident approach and will thrive in a busy working environment.

**Key Responsibilities**
- Providing day to day assistance to the Head of HR to support the needs of the business
- Fully manage and oversee the in-house employee training system that addresses company training needs including training needs assessment and measure of training impact
- Accurate and timely reporting of all learner training information in the Academy system to help meet KPIs. This includes a full and thorough understanding of the administration and maintenance of the system and the preparation of periodic BI reports
- Build positive internal and external relationships with Employees,
- Managers, and any other stakeholders
- Assist with driving forward the Wellbeing and E,D&I strategies, taking an active part in meetings and follow up actions
- Supporting the HR activities at the Pole for example:

- Issuing offer letters and contracts
- Checking, sending and tracking of all references
- Checking and chasing expired documents such as passports, visas, training qualifications
- Arrange completion of all new starter induction forms and probations
- Support the engagement survey role out
- Assist with the leaver process and ensure that all relevant actions are completed
- Attend company events and recruitment fairs, assisting with organising, set up and delivery as required
- Ensure correspondence is treated in the strictest confidence
- Delivery will require a consistently high standard of administration and non -administration activities
- Maintain, update & create SharePoint sites where relevant
- Assist the perimeter HR Teams when required
- Organise and participate in the HR Network sessions

**Academy**
- Monitor the Academy mail box and action as appropriate
- Support the VE UK development programmes, co-ordinating and attending all sessions, providing hands on support for all attendees
- Support the VE Training Programmes including; course scheduling, securing facilities, attendance allocation, invitations to trainers and attendees, providing data to colleagues where needed and attending sessions to ensure smooth running
- Provide assistance in the co-ordination and facilitation of online train
- Ability to set up systems, spreadsheets and competently undertake the monitoring and analysis of information
- Competent and proficient in Microsoft Office packages especially Word, PowerPoint, Excel, and Outlook
- Ability to communicate effectively verbally and in writing and to explain and support learners using understandable terminology to non-IT personnel
- Excellent organisational and time management skills, able to operate within tight deadlines and manage several work activities at any one time
- Ability to manage a busy workload and meet deadlines
- Ability to prioritise and re-prioritise work with minimum notice
- Ability to manage own workload to achieve set targets and deadlines
- Ability to establish and maintain professional working relationships with all stakeholders
