**Plant Administrator Vacancy**

**Purpose of Role**
To support the Plant Senior Leadership Team (SLT) with Administration tasks and to provide a professional Reception service, responsible for related reception and admin tasks to ensure a positive visitor experience - reporting to the HR Manager.

**Essential Responsible Areas**:
**Reception**
- Undertake various reception duties including mail, parcels and greeting visitors. Maintain the reception area to an exceptional housekeeping standard
- Greet all visitors to the company in a welcoming and professional manner. Ensure they have signed in the visitor book, fire register and completed visitor Health forms and have been announced (name and company) promptly to the employee they are visiting

**System management**
- Audit dates sent out and completions
- Appraisals date sent out and completion trackers
- Skills matrix dates and management
- Holiday tracker completion for all graded roles
- Daily absence tracker completion working in conjunction with the HRG
- EHS data input

**Room and visitor management**
- Booking and management control of meeting rooms
- Announcement of visitors attending site each week
- Induction management - working in conjuction with training manager to diarise inductions for new starters / visitors as required, ensuring relevant presentation meetings are booked

**PPE management**
- Management and distribution of PPE for all visitors and new starters

**Stationary management**
- Ensure all required stationary is ordered in a timely manner and maintain a good stock management system to ensure constant supply is available

**Additional requirements**
- Manage all travel/hotel/catering requirements as requested by Plant Management
- Control employee workwear orders, lockers and clock-in badges
- Communication champion - take a leading role in plant communications such as posting new starter announcements to noticeboards, update and maintain the content of the noticeboards, ensure internal and external communications to and from the company are handled efficiently, design and co-ordinate a quartely newsletter, BECF rep information, Town Hall comms etc, responsible for uploading content to the communication screens and refreshing the information accordingly
- Assist departments with routine administrative and clerical tasks as and when required, as well as other adhoc administrative tasks as required by the SLT
- Assist with Corporate Initiatives assisting with all social event organisation and distribution of gifts/tickets etc. coordination of charity initiatives and fundraising events
- Co-ordination of long service awards and retirement gifts, arrange correspondence and gifts as required, Christmas and attendance voucher coordination
- Meetings - minute meetings as required by the SLT
- Crew day coordination - room/venue/activity booking, refreshment ordering and coordination on the day

**Professional & Education Qualification**
- Educated to GCSE level or equivalent
- Previous experience of working within an administrative / receptionist role is essential

**Knowledge**
- Confident user of computer programs: MS Office, Word, Excel, Outlook, calendar management, PowerPoint
- Confident on the telephone and transferring calls, ability to manage cold calls
- Experience of working within a manufacturing environment
