An exciting opportunity has arisen for an enthusiastic and motivated individual to join the administration team of the Wales Fertility Institute.

The post holder will be expected to cover all aspects of the administration duties of a busy clinic including reception and general enquires across both the Neath Port Talbot and Cardiff sites. Cross site cover will be required on an ad-hoc basis

You should possess excellent communication and organisation skills, have a good standard of education, good keyboard and IT skills.

You should have excellent interpersonal skills to work in what is a highly confidential and sensitive clinic.

You will be an effective team player who works well under pressure, is efficient, helpful and has a friendly manner when dealing with members of the public, colleagues and other service users.

There are two permanent part time posts on offer, working 22.5 hours per week over three days. Predominantly this post will be in Neath Port Talbot hospital however cross site working will be required to cover staff absence.

Answer the telephone, deal with queries relevant to the service and/or take accurate messages, record details and pass on to the appropriate team/individual in a timely manner.

Receive, open, sort, date stamp and distribute incoming mail and prepare outgoing mail, on a daily basis.

Use a computerised system to book appointments and complete associated processes.

Take payments off our fee paying patients

Process and update all relevant documentation where appropriate, using manual and computerised systems, providing records and information as requested.

Ensure that processes are adhered to and achieved within set targets as laid down in departmental standard operating procedures.

Assist colleagues in providing and maintaining efficient day to day maintenance of the medical records to facilitate optimum accessibility to patient records pertaining to the service.

Responsible for accessing, inputting and updating various computerised systems on a daily basis.

Copy/audio typing of letters and reports.

Photocopying, filing, record keeping, plus other general office duties as and when required.
