**Job Title: Project Controller / Administrator**
**Location: Boscombe Down ( Hybrid 2 - 3 days onsite**
**Per Annum: Competitive**
**Duration: 12 Months**
- Specific responsibilities for which the post holder has a requirement to deliver_
- Ensure all necessary travel arrangements are in place to enable staff and students to attend relevant exercises whilst attending ETPS courses. This will include, but is not limited to,
- Coordinating the booking of hotels, hire cars flights etc.
- Obtaining all necessary security clearances required for the exercises
- Working with Trade Solutions to obtain all necessary export licences in a timely fashion
- Liaise with staff and students within the school to ensure all information is agreed and understood prior to travelling
- Maintain a clear record of all travel costs and provide accrual data to the Project Support (Finance) at the end of each accounting period.
- Provide additional administrative support as and when necessary
**Knowledge, Skills required**
- MS Office, particularly EXCEL
- Awareness of the import/export licencing rules relating to transfer of goods/materials
- A high understanding of the Security processes and procedures for visiting external establishments
- Highly organised
- Pro-active with the ability to prioritise own workload appropriately with no supervision
- Strong administrative background
**Challenges**:
- Organise complex multiple travel arrangements simultaneously, with varying, changeable requirements
- Liaising with Lead Tutors and FCM to ensure all travel is booked obtaining the best price
- Obtaining security clearance for foreign students on the course via High Commissions, Embassies and Senior Ranks
- Maintaining an up-to-date record of expenditure and accrual data
**Key accountabilities**
The appointment holder is accountable to the ETPS Programme Leader and the ETPS Business Operations Manager
**Personnel and Behavioural requirements**
- Team player with excellent inter-personnel skills
- Patient and with a good sense of humour
- Adaptable and approachable
