**Job Details**
- Provide full reception service for internal/external customers and suppliers.
- Ensure all messages and information are forwarded onto the correct person/department in a timely manner.
- Maintain the Reports & Accounts mailing list for PA to CEO.
- Manage the distribution of Reports & Accounts as directed.
- Process all incoming and outgoing mail, including registered, swiftair, recorded letters and couriers.
- Assist Sales & Marketing with sample despatches to customers and home-based staff.
- Monitor franking machine funds and consumables for franking machine from suppliers.
- Support company with mail shots as and when required.
- Provide support to the Business Support Team/adhoc PA Work
- Maintenance of the temporary staff database each week to ensure it provides an accurate record of temporary employees at all times.
- Provide general administrative support to individual departments as required i.e word processing, Excel, Database work and ordering of stationary using the ERP (Oracle) system.
- Provide cover for other receptionist for holidays and other absences, as well as arrange additional adhoc cover and provide necessary training when necessary.
- Record share price/volume and log in diary to produce monthly graph for Business Information Boards.
- Provide confidentiality agreements to visitors when requested.
- Monitor and maintain stock levels of stationery/printer consumables, ensuring consistent supplies.
- Responsibility for ordering company business cards, purchase order forms, letterheads and all other types of printed stationery.
- Act as Fire Marshal ensuring the Roll Call Register is updated when people leave or join AMS. Carry out daily inspection of the reception area.
- Handling of petty cash
- Fax information for customers and suppliers
- Keep pigeonholes updated and ensure post is being collected regularly.
- Pool Car administration.
- Record and Recognition voucher administration.

**Key responsibilities**

**What will this role involve?**
- Previous experience or Receptionist Training Certificate required for this role.
- Strong interpersonal skills with an excellent telephone manner.
- Ability to maintain confidentiality.
- Customer Services NVQ would be desirable but not essential.
- Flexibility with the ability to working with a team and use own initiative.
