Responsibilities:
- Greet and welcome clients in a professional and friendly manner
- Answer phone calls and direct them to the appropriate person or department
- Take and relay messages accurately and promptly
- Provide accurate information to callers and visitors
- Perform clerical duties such as filing, photocopying, and filing
- Produce confidential business documents
- Maintain a clean and organised reception area
- Schedule appointments and manage calendars for staff members
- Store, archive and retrieve confidential client information
- Assist with data entry and record keeping
- Handle incoming and outgoing post, including client records
- Assist with inventory management and ordering office supplies
Desired skills:
- Excellent phone etiquette and communication skills
- Proficient in typing and computer skills, including knowledge of Outlook, Word, Excel and other office software
- Strong organisational skills with the ability to multitask and prioritize tasks effectively
- Attention to detail and accuracy in data entry and record keeping
- Previous experience in an administrative or receptionist role is preferred
