**Role Description**

Title: Administrator - working in our prescribing team
Reports to: Practice Manager

**Job Purpose and Summary**:
Our practice prescription service is delivered by a small team of prescribing clerks who work closely with our clinical pharmacist and clinical team. The service offers patients a designated team to deal with their medications requests and enquiries. The team directly deals with patients’ medication requests to support the clinical team (GPs, Nurses and Pharmacists) in the receipt and preparation of repeat prescriptions. You will be a main contact for patient enquiries. The prescribing clerks are be responsible for providing excellent service to all of our patients and colleagues.

The post is ideally suited to someone who has excellent organisational and prioritising skills, combined with a high attention to detail. The role requires excellent literacy and numeracy skills and the ability to problem solve on a day to day basis.

You will deal with enquires face to face, over the telephone, having contact with patients, carers, nursing homes, community pharmacists and health professionals within the practice in relation to prescription requests and enquiries.

Having a mindset for continuous improvement in the way work is done is essential.

You will work closely with our reception team supporting them to deal with enquiries. This will require you to work as part of our reception team during busy periods.

We are a busy surgery and it is a changing environment. You will be keen to contribute to finding improvements and more efficient ways of working to deliver a high level of patient care.

**Responsibilities**:
**Duties**
- Answering medication queries from patients, colleagues, pharmacies and care homes. This can be face to face, over the telephone or using our systems
- Inputting prescription orders
- Collate information from medication related queries and forward to an appropriate healthcare professional in a timely manner
- Provide patients with information and education on their prescriptions
- Promotion of electronic repeat dispensing and online ordering
- Manage prescription requests from vulnerable/high priority patients and care home residents
- Work with Prescribers to provide a responsive repeat prescription service, in accordance with any relevant and appropriate policy or protocol.
- Liaise with pharmacies on the supply of prescribed drugs, alert clinicians of any supply issues and forward information on the recommended alternative
- Be aware of monitoring requirements for selected drugs or categories of drugs and inform patients of the required monitoring with the patients concerned
- Bring any queries to the attention of the relevant Prescriber to include under and over usage
- Build good relations with the community pharmacies. Liaise with community pharmacy services and patients to resolve queries and communicate changes to medications
- Establish and maintain filing and administrative systems so that written or computerised information is easily accessible and secure
- Escalate any problems as appropriate to the management team
- Provide cover for members of the Prescription team during periods of sickness, annual leave or generally busy periods
- Undertake training as required to support safe and effective services for the Practice.
- Carry out any other duties as may reasonably be requested by the Clinicians or Managers

**Skills and Knowledge**
- Awareness of systems to support management of patients in a general practice setting
- High attention to detail and accuracy
- Works well within a busy team and can work well under short deadlines. Supportive of other team members.
- Excellent communication skills, oral and written, with the ability to adjust communication style and content to suit the audience
- Excellent listening skills and a curiosity to ask questions to help understanding and continuously improve our ways of working

- Maintains confidentiality at all times
- Very good IT skills including all Microsoft office packages
- Has a planned and organised approach with an ability to prioritise their own workload to meet strict deadlines
- An understanding of data protection and confidentiality issues
