An exciting and rare opportunity has become available to join our Audiology department as part of the administration team. The focus of the role will be to develop and maintain an effective, friendly and professional clinic administration service for patients and staff, ensuring clinics are administered according to best practice with appropriate staffing levels and efficient use of resources.

You will help with the day to day running of the Audiology department that includes outreach sites, supporting the Audiology manager to deliver key performance indicators and service developments. 1. Operationally responsible for the day-to-day delivery of key performance indicators for the Audiology department, in line with divisional and organisational goals and targets, including delivery of national targets like DMO1 (initial diagnostic target).
2. Be responsible for a good experience for all our patients and provide excellent customer service skills at all points of patient engagement.
3. Responsible for the standard and quality of the administration,to include arranging appointments, interpreters as required, cancelling and rebooking clinics, receiving patients attending the department for Audiology or ENT appointments.
4. Use waiting lists and other patient tracking reports to book outpatient appointments in line with the Trust’s Elective Access, Booking and Choice Policy, monitoring booking performance against key performance indicators.
5. Work with service leads to ensure Referral to Treatment (RTT) and DMO1 performance targets are met, and patients are booked in order of chronology or clinical necessity and in accordance with the Trust’s Elective Access, Booking and Choice of Day policy and departmental Standard Operating Procedures.
6. Check all patient demographics at clinic attendance, updating changes on the Audiology patient administration system (AuditBase) and administering overseas patient payment forms.
7. Perform Audiology reception duties, including telephone calls & answerphone messages, booking patients on arrival, logging hospital transport, booking ENT patients for audios.
8. Ensure all patients attending clinic have a completed outcome entered on AuditBase and Medway as required.
9. Liaise with clinical staff to ensure on the day delays are accurately and efficiently communicated to patients in department.
10. To be responsible and appropriately book in all e-Referral appointments, to liaise with Audiology Manager or Head of Service about cancelling sessions and monitoring adherence to DMO1 assessment waiting times.
11. Responsible for PTL and RTT which includes weekly validation and referral overview validation.
12. To perform all aspects of paediatric community duties at the West Swindon Health Centre; to include arranging appointments for patient’s, interpreters if required, cancelling and rebooking clinics, receiving patients attending the department for Audiology or ENT appointments.
13. Management of stock, including SBS ordering and maintenance of adequate Audiology consumable levels.
14. Appointment utilization and booking.
15. Governance - taking minutes at Audiology meetings.
16. Responsible for waiting list validation and weekly waiting list performance statistics.
