**JOB TITLE: MEDICAL SECRETARY**

**ACCOUNTABLE TO: PRACTICE MANAGER**

**JOB SUMMARY**

It is the duty of each Secretary to assist in the smooth running of the Practice in general. To project a positive and friendly image to our patients and other professionals who may contact us either in person or via the telephone.

**ESSENTIAL SKILLS REQUIRED**

Good communication skills both written and verbal.

Positive Attitude

Excellent interpersonal skills and a genuine desire to deliver a caring and efficient secretarial service.

Good Team Worker

Good standard of computer Literacy and experience of the Systmone clinical system

Flexible to working pattern as changes may need to be made at short notice.

Willingness to provide holiday and sickness cover when needed.

**PRINCIPAL RESPONSIBILITIES**

Sending requested patient Referrals from the clinicians and providing up to date knowledge of the referral process and Advice and Guidance process to the clinicians and staff members.

Providing copies of Medical Reports and copies of the patient records when requested.

Dealing with all telephone queries/requests from patients and acting as liaison to other staff members and professionals.

Supporting and assisting the Doctors and Nurses during surgery times as required.

Liaising with secondary care providers and arranging transport as necessary.

Assisting staff members with registrations and processing the paperwork.

Downloading and filing all patient information into the electronic record and/or paper records with correct coding from incoming post electronically or paper format

Maintaining patient electronic medical record. Accessing information when required. Ensuring Doctors surgeries are stocked with the necessary paperwork and forms to enable their surgeries to proceed without interruption.

Supporting and encouraging other members of the Practice Team

Any other duties requested by the Doctors and Practice Manager.

Cover for Reception Team Members as and when required.

Taking minutes for Practice and Staff meetings, plus the PPG meetings held out of hours.

**CONFIDENTIALITY**

You are required to preserve the confidentiality of the affairs of the GP’s, Staff and patients and all matters connected with the Practice. Any breach of such confidence would be regarded as grounds for disciplinary action.

This job description may be reviewed and altered at intervals following consultation with the post holder.

**Job Type**: Permanent

**Salary**: £11.50-£11.80 per hour
