**ROLE DESCRIPTION: COP Administrative Support**
**Job title**:COP Administrative Support**
**Reporting**:Reports to the Head of Department/Team Head
**Overall purpose**:
To provide a first rate service to our clients according to their specific needs, ensuring full compliance with policies and procedures laid out by the group and by regulatory bodies. To act as an ambassador for the group at all times, actively promoting its services.
**Key accountabilities.**
1. Main Responsibility: To actively deal with the payment of 3rd party invoices and payment requests forwarded by the team and to provide assistance with NatWest Bankline requirements;
2. To produce accurate and well-presented documents;
4. To maintain up-to-date filing systems to allow lawyers to find and use documents easily and efficiently and also assist generally with document management, as and when required;
5. To update and maintain central department databases and spreadsheets in relation to clients and general file management;
6. To provide general assistance to the Head of Department/Team Head as and when required. This could involve locating documents, filing, drafting documentation, office organisation and liaising with clients and third parties;
7. To actively participate in departmental meetings;
8. To ensure that all work undertaken is appropriate to workload and level of knowledge and experience. Informing the Head of Department/Team Head of any concerns and referring work which can be carried out more effectively or efficiently by another member of the team;
9. To actively assist other members of the department where appropriate, notably in providing cover for holidays etc;
10. To respect confidentiality at all times;
11. To endeavour to improve knowledge and skills where appropriate;
12. To collect or deliver stationery, faxes, post, deliveries, cheques etc, where necessary, to facilitate the efficient running of the office;
13. To understand and use the group's technology effectively, and to participate in appropriate training to develop skills further or to adopt new systems;
14. To charge the rate defined by the Management Board/Head of Department/Court for services;
15. To actively promote the group and all its services in order to attract new business;
16. To disclose any claims and complaints or potential complaints promptly;
17. To ensure that the group's policies and procedures and those laid out by regulatory bodies such as the Solicitors Regulation Authority are complied with fully at all times;
