**JOB TITLE**:Office Assistant

**EMPLOYMENT STATUS**:Permanent contract
**MAIN PURPOSE OF THE ROLE**:
The role is to be the face of the company for clients and staff. You will be at the heart of the firm’s Client Service Centre in Wallingford, welcoming clients and dealing with their initial enquiries in a friendly, professional manner, in accordance with the company values. You will also be assisting with the effective running of the office operations and facilities.

**KEY TASKS**
- To be the first point of contact for any new clients walking into reception and dealing with their initial enquiries
- Ensure business hub is clean and tidy and reception stocked with literature
- Taking card payments
- Ensuring meeting rooms are clear and ready to receive clients/visitors - table clean, water refreshed, clean glasses, etc
- That kitchen and bathroom facilities are well stocked
- Receiving, sorting and scanning of post to the teams
- Franking post at the end of the day
- Maintaining and updating funds on the franking machine
- To deal, where appropriate, with confidentiality and discretion in matters relating to work
- Arrange maintenance and renovations, as required
- Ordering stationery and other oce supplies, in accordance with budget, liaising with the Business Services Manager
- Liaise with suppliers for utilities, oce supplies/equipment, cleaners, sanitary facilities, etc
- Liaise with security companies regarding fire and security alarms/door panels for both oces and arranging repairs when required
- Oversee archiving, file retrieval and confidential waste, as required, liaising with Oasis
- Liaise with the Business Services Manager on IT issues
- Assisting teams with administration duties, such as copying, filing, printing, etc
- Assisting the Business Services Manager with other tasks relating to facilities and operations.
