**Purpose of the role**

Administrative and supportive role for the provision of a professional, comprehensive, and proactive property maintenance service to The Trade Centre managers and colleagues. Support in the delivery of a property maintenance service and related small works projects across the existing and proposed Trade Centre sites with a strong focus on good customer service.

Support the streamlining of delivery processes and the procurement and management of all external contracts. Support with the process of procurement, mobilisation, and demobilisation of contracts. Key to the building of effective strong relationships with a network of suppliers, managing service delivery, cost and quality while ensuring VFM for the Trade Centre Group.

**Main Duties and Responsibilities**
- Manage the facilities maintenance help desk - triage of repairs to ensure swift and effective resolution.
- Deal with all enquiries and correspondence relating to maintenance issues and maintain effective administration systems.
- Manage and co-ordinate supplier attendance to site - Through effective communication ensure Site staff aware and engaged.
- Responsible for ensuring that work is completed in a timely manner/ Delivery undertaken.
- Support in the delivery of a cost-effective programme of servicing and planning/schedule maintenance for all sites.
- Assist with maintaining relevant databases and spreadsheets for all compliance and servicing reporting
- Support with the administration and upkeep of estate asset register, maintain user manuals, O & M manuals and drawing records.
- Ensure all working practices are H & S compliant and that our statutory compliance is met.
- Support with the building and maintenance of a network of maintenance providers to support the operation of the business across all sites.
- Administer meetings with external suppliers including preparations of agendas, action plans and minutes. Actively manage action plans to meet key milestone dates.
- Manage corporate contract register to ensure that contract compliance and KPIs are adhered to and implemented.
- To issue work orders up, review and validate invoices utilising the Groups invoicing systems and deal with queries from internal and external customers. Ensure suppliers are paid on time.
- Drive effective clear communication between maintenance/contracts team and the rest of the business.
- Effective prioritisation management of reported issues, to ensure minimum disruption to business operations.
- Support in the provision of accurate maintenance cost reporting.
- Work flexibly within the team and undertake adhoc duties as required by the business and line manager.
