**Reports to**: Headteacher

**Salary**: NJC SO1

Starting Salary: £33,351

Rising to: £34,341

**Working days**:36 hours per week, 52 weeks per year (full-time)

7.2 hours per day not including 50 mins for lunch

Core hours: 8am - 4pm

**Holiday entitlement**: Paid holiday entitlement is 28 days (25 days + 3 statutory days) + 8 bank holidays

**Start date**: Spring term 2023

**Main Purpose of the role**:
The operations manager is responsible for providing professional guidance for support staff in partnership with teaching staff, to enhance their effectiveness in order to achieve improved standards of learning and achievement in the school.

The operations manager promotes the Trust’s high standards of business ethos within the administrative function of the school and, in conjunction with the senior leadership team, helps to strategically ensure the most effective use of resources in supportof the school’s learning objectives.

The school operations manager will be responsible for:

- administration management;
- management Information and ICT;
- facility & property management; and
- health & safety management of the school.

**Key Responsibilities**

- **Administration management**
In conjunction with the headteacher, the operations manager will:

- lead the school administrative team, including their performance management;
- maintain administrative systems that deliver outcomes based on the school’s aims and goals;
- develop process measures that are affordable and that will enable value for money decisions for those managing resources;
- establish and use effective methods to review and improve administrative systems; and
- prepare information for publications and returns for the DfE, the trust, and other agencies and stakeholders within statutory guidelines.

**2. Office and communications management**

In conjunction with the headteacher, the operations manager will:

- ensure office procedures are completed accurately and in a timely manner;
- management and regular update of the school website, ensuring all pages are current and compliant;
- management and regular update of the school calendar, including its circulation to parents/carers and staff;
- act as note taker at the request of the headteacher; and
- act as lead contact for PATH, supporting them with planning of events.

**3. Facility and Property Management**

In conjunction with the headteacher, site manager and VLT estates manager, the operations manager will:

- ensure the supervision of relevant planning and construction processes is undertaken in line with contractual obligations;
- ensure the continuing availability of utilities, site services and equipment;
- monitor, assess and review contractual obligations for outsourced school services;
- ensure a safe and secure school environment; and
- oversee the management of school lettings for the development of the extended services and local community requirements.
- **Health and Safety**
In conjunction with the headteacher, site manager, the operations manager will:

- act as the school’s health & safety coordinator and fire officer;
- ensure the Trust’s written health & safety policy statement is clearly communicated and available to all;
- ensure the health & safety policy is implemented at all times, and reviewed regularly;
- ensure systems are in place to enable the identification of hazards and risk assessments;
- ensure systems are in place for effective monitoring, measuring and reporting of health and safety issues to the SLT, governors and where appropriate the HSE; and
- ensure the maximum level of security consistent with the ethos of the school.
- **Other duties and responsibilities**
The operations manager will:

- oversee the attendance of all pupils within the school;
- ensure that all enquiries into the school, including complaints, are responded to appropriately and in a timely manner;
- ensure that all pupil records are maintained accurately within SIMS and that paper records are kept where appropriate;
- act on own initiative over a full range of activities including dealing with more complex enquiries in a helpful and diplomatic manner, and with a resolution where possible;
- work with confidential information, having due regard for the Data Protection Act (2018) and UK General Data Protection Principles; and
- perform any reasonable duties as requested by the headteacher.
- **Overall ethos**
The operations manager will:

- have professional regard for the ethos, policies and practices of the school in which they work, maintaining high standards of attendance and punctuality;
- be aware of and support difference and ensure equal opportunities for all;
- establish and maintain constructive relationships and communicate with other agencies, professionals, parents/carers and visitors;
- attend and participate in meetings as required; and
- work as part of the administrative/welfare team, participate in training, other learning activities and appraisal as required.
