Operations Desk Days 4 On 4 Off

Coordinate the overall activities of the Operations Desk during allocated shifts. Ensure all vehicle departures, driver’s paperwork, and any last minute changes in requirements are handled in an efficient manner. The core competencies for this role are:

- Customer-focus

**Main Duties and Responsibilities as Key Performance Indicators**:

- Vehicles and equipment leave the depot at the designated time and in a roadworthy condition
- Complete schematics for departing vehicles and trailers and check these against returning vehicles and trailers, reporting any irregularities
- All vehicles and drivers are legal when they leave the depot, (drivers have had their digi-cards downloaded and agency drivers have signed disclaimers, etc.)
- Responsibility to maintain a smart appearance and wear a uniform at all times when on duty.
- Check vehicles on arrival for damage and ensure drivers complete accident reports

**In addition, main duties and responsibilities to include**:

- Work to the instructions and processes outlined in the Operations Desk Manuel
- Oversee and coordinate the in-house daily Operations functions of drivers and respond to external HOD and client requests.
- Observe company policy and procedures including H&S and Operators Licence requirements
- Maintain and control the depot in conjunction with the manager and depot marshal and ensure vehicles due to depart are accessible
- Work within the requirements of the Operations Desk Manual
- Download vehicle units and drivers digi-cards and collect tachograph record sheets as and when required
- Ensure all vehicle keys and number plates are signed in/out and arrival and departure sheets are completed
- Check the completion of all drivers’ paperwork on their return to depot, inputting data as per project managers’ requirements
- Check driver’s daily paperwork and movement sheets from DTM and respond accordingly
- Ensure drivers are in uniform at all times
- Manage the issuing of fuel cards and regularly check against register plus conduct audits as and when required

17. Monitor the SMS defect reporting system and action Mobile Maintenance response following company procedure at weekends and out-of-hours
