**Summary of Role**

The Caretaker is required to open and close the Hall for hirers as required during the week, evenings and weekends. The Caretaker will liaise with the Premises Manager, Bookings and Events Manager, Bar Manager and customers to ensure events are prepared according to guests’ wishes and spaces cleaned and packed away ready for the next user. The Caretaker must be able to work responsibly, flexibly and at times in isolation, consistent with the 7-day use of the Village Hall.

We are recruiting 2 vacancies to give us as much flexibility as possible so that we can help customers have a great event and continue to maintain and improve the Hall.

**Personal requirements**
- A hardworking; responsible; honest; dependable; self-motivated person with (ideally) experience and knowledge in DIY and basic building maintenance.
- Able to remain calm in a crisis and an excellent communicator when dealing with members of the public.
- A basic understanding of safe working practices and have the confidence to address any obvious health and safety concerns.
- Be well organised and capable of prioritising own workload.
- Flexible and prepared to support a varied routine over 7-days, including late nights and early mornings.
- Physically fit and capable of manoeuvring heavy and awkward equipment using the safe systems and equipment provided.
- A DBS check is required for the post holder.

Where necessary complete relevant training courses and certificates as requested by the Premises Manager

**Specific Duties and Responsibilities**

**Servicing**
- Ensure that the building remains clean and tidy and that all furniture and equipment is appropriately stored.
- Setting up and clearing away furniture to the requirement of customers.
- Monitor cleaning stocks and other consumables and notify Premises Manager when they are in need of replenishment.
- Receive and receipt goods and supplies and ensure that they are distributed and/or stored appropriately.
- Occasionally monitor the attendance and work of nominated contractors.
- Ensure that external areas are free from litter and debris and any rubbish is appropriately disposed and available for collection by the refuse collection company.
- Regularly disinfect drains and dustbins.

**Management of Systems**
- Weekly testing of the fire alarm system ensuring activation points are rotated to allow all points to be tested at least annually. Reporting any defects to the Premises Manager
- Monthly functionality testing of the emergency lighting. Reporting any defects to the Premises Manager
- Annually carry out emergency light discharge test for a 3-hour period. Reporting any defects or failures to the Premises Manager
- Weekly check defibrillators (AEED) for correct operation and submit records on a monthly basis to South West Ambulance Services Trust.
- Check First Aid Kits monthly.
- Undertake seasonal tasks e.g. changing timers / clocks / heating times etc.
- Regular checking of the intruder alarm system. Report any defects to the Premises Manager immediately.
- Record on a monthly basis utility consumption i.e. Gas, Electricity, and Water. Submit records to the Premises Manager.

**Maintenance & Safety**
- Promptly notify Premises Manager of any new maintenance issues i.e. furniture and fittings defects or damage to internal / external fabric.
- Carry out minor maintenance and building repairs including replacement of toilet seats and flushes; minor furniture repairs and maintenance; preparing and painting surfaces. (This list is not exhaustive but for illustrative purposes.)
- Ensure all lighting and heating is working effectively. Report any defects to the Premises Manager
- Routinely clean lamp shades and light diffusers.
- Change light bulbs / fluorescent tubes safely complying with Working at Height regulations. Defective light bulbs / fluorescent tubes should be safely deposited in appropriate receptacles to await collection from authorised disposal company.
- Ensure toilet extract system is working correctly. Report any defects to the Premises Manager.
- Periodically check and inspect all openable windows for correct operation. Report any defects to the Premises Manager.
- Periodically check, inspect and operate all water outlets for correct operation. Report any defects to the Premises Manager.
- Periodically check and inspect, and if relevant, clean the external gutters.
- Monthly check, inspect and record that all fire doors operate and close correctly. Report any defects to the Premises Manager.
- Monthly check, inspect and record fire extinguishers are present and not discharged. Report any defects to the Premises Manager
- Ensure that all fire exits are clear from any obstruction. If necessary, remove any obstruction.
- Maintain external paths and entrances free of ice and snow to ensure the safety of Hall users.
- Be prepared for emergency morning
