**Accounts & Administration Assistant**

**Job Specification**

**1. Introduction**

The River Dee Trust (the ‘Trust’) is a charitable company limited by guarantee which provides scientific advice to guide fisheries management and river restoration measures, and education to the wider community throughout the River Dee catchment in Aberdeenshire.

The Trust works closely with the Dee District Salmon Fishery Board. The ‘Fishery Board’ is the statutory body tasked with protecting and enhancing stocks of salmon and sea trout and supporting these fisheries across the district. The River Dee is one of the four principal salmon rivers in Scotland and its unique heritage makes it a worldwide destination for salmon fishing to one of the 90 individual fisheries.

**2. Reporting**

The Accounts & Administration Assistant will report in the first instance to the Administrator. The
Administrator reports to the River Director.

**3. Responsibility & Duties**

The general duties of the Accounts & Administration Assistant are:

- Prepare supplier invoices for payment and input onto the SAGE Accounts package
- Prepare income invoices and input onto SAGE Accounts
- Supporting financial reporting of the organisation
- General office support duties including minute taking, filing, answering phone calls, maintaining inventories, record-keeping and updating databases

**4. Skills and Background**

This is a supporting role for which the postholder will be provided with on-the-job learning about the financial and administrative needs of a Scottish registered charity with a diverse array of income streams and activities. The postholder will also learn about the requirements for statutory Fishery

Boards, ranging from the calculation and collection of financial assessments, legal frameworks, holding of meetings and elections, and formal reporting. There is also an element of ensuring the River Office is appropriately supplied to enable other staff to carry out their duties. Formal qualifications are not essential as training will be given to complete the required duties successfully and in a timely manner.

- Conscientious and have attention to detail
- Friendly and helpful manner
- Experience of Microsoft Office (Word, Excel)
- Ability and willingness to deal with members of the public and stakeholders

The following qualities are desirable:

- Experience of record-keeping

**5. Equipment**

All staff will be adequately equipped to carry out their duties in a safe and efficient manner and should ensure equipment is kept in good working order. Any deficiencies in the equipment or its condition should be reported in the first instance to the Administrator.

**6. Hours and Place of Work**

The River Dee Trust operates a 40-hour working week. The place of work will be the River Office, Mill of Dinnet, although the postholder may be required to travel throughout the district as required to carry out their duties. Attendance at meetings outside of working hours may occasionally be required.

**7. Remuneration and Benefits**

The salary for the post will be £22,000 per annum for a 40-hour working week. We will consider pro
- rata arrangements for fewer hours.

A pension scheme is offered, and 6% contributions are matched by the employer. A vehicle will be provided for work duties.

**8. Terms of Employment**

The terms of employment will be specified in an accompanying contract and staff handbook. Due to the nature of our work we may need to run a criminal record check. The River Dee Trust also operates continuous professional development and will help support the career development of the postholder.
