We are a vibrant, young GP Practice in Willesden Green. We are excited to hire a receptionist to join our team, performing a range of administrative and reception duties at the GP Practice. You'll be working with a great team of receptionist, administrators, doctors and nurses. Previous experience as a GP Receptionist or Administrator is necessary, as is experience using EMIS.

To work with our vibrant team to perform a range of administrative and reception duties at the GP Practice. Previous experience as a GP Receptionist or Administrator is advantageous, as is experience using EMIS.
Reception duties can include, but are not limited to, greeting patients, booking appointments, answering telephone calls promptly, stocking rooms and liaising with medical team members. Our patients come from a broad range of backgrounds, but we do have a particular large number of Arabic speaking patients. Speaking Arabic may be beneficial for this role but is certainly not a requirement.
The following are the core responsibilities of the receptionist/administrator. There may be, on occasion, a requirement to carry out other tasks:
Reception:
- Open the premises and stock rooms
- Monitor stock levels
- Greet patients at reception
- Answer all incoming telephone calls in a timely fashion
- Monitor call answering times using our cloud-based telephone dashboard
- Ask for support from the admin team when the phone is busy
- Signpost patients to the correct service as per Practice Protocols
- Book patient appointments
- Deal with all telephone queries/requests from patients, and acting as liaison with the Doctor as necessary
- If keen, then to manage the practice’s social media presence
Administration:
- Register new online patient registrations
- Code new patient registration forms
- Book patient referrals using Choose & Book
- Action test results and manage the results over the phone
- Register patients for online services
- Process repeat prescription requests
- Record the minutes of meetings
- Process incoming and outgoing mail
- Process all DNA and Patient Warning letters in accordance with Practice policy
- Action GP2GP tasks
- Deal with all incoming and outgoing patient notes
- Scan and Read code data on the clinical database
- Liaise with patients, hospitals and chemists as requested by GPs and Nurses
- When the telephone line is busy, help reception by answering calls
- Process requests for information i.e., SAR, insurance / solicitor letters and DVLA forms to the administrative team
In addition to the primary responsibilities, the medical administrator may be requested to:
- Suggest improvements to our practice and your job role, in practice meetings
- Support all clinical staff with general tasks as requested
- Support administrative and reception staff, providing cover during staff absences
- Partake in audit as directed by the audit lead
- Complete opening, stocking & closing procedures in accordance with the duty rota
**Job Types**: Full-time, Permanent
**Salary**: £9.50 per hour
