**Job Purpose**

The role is responsible for the day-to-day management of Facilities and Maintenance across our portfolio of retail stores and office locations, ensuring all tasks are dealt with in a professional, timely and friendly manner. You will be the pivotal pointof contact, managing numerous projects and requests raised by retail stores and head office employees. You will have to liaise with suppliers and contractors; seeking approval, instructing orders, reviewing schedules and ensuring costs and service levels aremaintained in line with budgets and SLAs, respectively.You will also assist the Facilities and Maintenance Manager to further develop and enhance the FM Function, providing innovative solutions and ideas in order to continually raise the standard of Facilitiesand Maintenance across the estate.

You will be a proactive self-starter, with the ability to multi-task and get things done quickly and effectively. You will also need to be an effective communicator with experience of developing good working relationships internally and externally.

**Responsibilities**
- Coordinate and liaise with shops and central office; logging calls/requests, managing a data base of prioritised tasks providing timely and appropriate response.
- Manage and develop a service-based management status report of all maintenance tasks logged for internal and external use.
- Coordination of third-party contractors to deliver efficient planned and reactive works, within agreed budgets and service levels, for the property estate.
- Cost and budget control reviewing, signing off and challenging contractor’s invoices.
- Checking that agreed work by staff or contractors has been completed satisfactorily and following up on any deficiencies.
- Create and manage best practice working process to improve department efficiency.
- Carry out workplace inspections; identifying, reporting and following up with internal teams on actions required.
- Form strong relationships with the store and head office managers to understand their needs.
- Represent the Facilities Team around the workplace, being the go to point of contact for Facilities queries.
- Provide regular reports on outstanding jobs and Utilities.

**Skills & Experience**

- Two years’ experience within facilities management, ideally within the retail industry.
- Proven track record of planning and delivering maintenance task schedules to improve the estate portfolio.
- Understanding of Health and Safety at Work policy along with statutory retail compliance including Fire Protection, RSA certificates, COSH, legionella Certificates.
- Track record of building and maintaining best practice processes and to plan and prioritise workload.
- Knowledge of costs of retail building and repair works be able to qualify and challenge costs.
- Cost and budget control experience
- Strong IT skills and experience of Microsoft office suites and job/task logging management.
- "IWFM membership".
- IOSH qualification preferred but not essential.
