There is an exciting opportunity to join Bellway, one of the UK’s largest house builders. Our North East Division are looking to recruit a Commercial Secretary to join the Division’s Commercial function.

**The Role**

The role of Commercial Secretary supports the Head of Commercial in the day to day running of departments and provides secretarial and administration support to the Commercial Team.

Overall principle accountabilities of the role include
- Collate board papers & higher management documentation
- Payment processing for both Commercial & Customer Care - Mid month & End month
- Obtaining waste data on a monthly basis.
- Maintenance of Sub-contractor and supplier details in COINS/ Excel system
- Recording and ensuring accuracy of department holiday and sickness records (Commercial & Technical)
- Assist and support the departments with general administration such as typing, letters, spreadsheets, filing and diary management
- Minute taking and distribution of notes for departmental meetings
- Issuing meeting agendas
- Management of supply chain database
- Retention management
- General administration tasks including but not limited to, incoming and outgoing post and filing
- To organise all staff training and maintain records
- To provide relief switchboard/reception cover as required
- Assisting with raising/issuing rebate invoices and collection of monies.
- Logging of Technical invoices
- Always represent Bellway Homes Limited professionally in both personal appearance and conduct

The above list of accountabilities is not exclusive or exhaustive. The post holder will be required to undertake any such duties as may be reasonably expected.

**Commercial Team - Specific Accountabilities**
- Maintaining COINS database for subcontractors.
- Assisting with raising/issuing rebate invoices and collection of monies.
- Dealing with local supplier chains.

**Specific accountabilities listed above may require training, this will be provided in the role.**

**Experience, Qualifications and Skills**

**Experience**
- Experience of working within a busy and fast-paced administration role.
- Experience of working with in the construction industry desirable.

**Qualifications and Training**
- GCSE Maths and English - Grade 4/C or above (or equivalent)

**Skills and Aptitude**
- Good interpersonal skills.
- Excellent organisation and administration skills, including good attention to detail.
- Ability to work on own as well as part of a team.
- Works effectively to deadlines under pressure and competently works on multiple tasks simultaneously.
- Ability to wok to own initiative.
- Proficient IT skills along with a good working knowledge of Microsoft Office (Word, Excel and Outlook) and the ability to adapt to new systems.
