People Experiences, sitting within People and Culture, aim to provide a service to other teams at CAP by working closely with them to ensure that the events they request are executed effectively and are an excellent experience for the people attending, whether that is supporters, frontline staff, Head Office staff. We believe in excellent organisation, clear communication and providing a space for attendees to learn, network, be inspired and be refreshed.

**Purpose**
The role of the People Experiences Events Lead is to organise a wide variety of high quality events for all CAP’s head office and frontline workers, to include services training events, head office events and national conferences. As well as events for other CAP teams. These will include formal and informal dinners, national and local exhibitions and others that may be requested. They take responsibility for all elements of the event planning process including finding a suitable venue, managing a team of volunteers and the successful running of the event on the day.

**Responsibilities**:
**Accountabilities**:

- Assist with the organisation of CAP’s national conferences for both head office and frontline staff
- Lead or assist in the organisation of head office engagement initiatives (including revive days, wellbeing events and virtual events)
- Lead in the coordination and logistics of a variety of Supporter and Fundraising events throughout the year
- Assist with the event management of other regional events such as revive days and training for the frontline network
- On the run up to an event, organise communications strategies, bookings, delegate enquiries, logistics, contributors, and social activities for conferences
- During the events, manage logistics, hospitality and queries, problem solving as things occur and leading the staff/volunteer team to deliver the event
- After an event, coordinate feedback and lead a review/evaluation process
- Manage allocated budget on specific events
- Ensure relevant health and safety procedures are followed at all events
- Ensure we are sourcing as ethically as possible
- To scout, choose and negotiate with venues, caterers and other suppliers to get the best possible price
- To demonstrate great communication with the venue, event organisers and suppliers to make sure our requirements for the event are met
- To organise and manage a volunteer team at various events
- Ensure that the stakeholders are informed of progress and any issues that occur
- Complete improvement projects/tasks as outlined by the Stakeholders and People Experiences Manager to a high standard
- To work collaboratively with other teams and departments to meet the needs of an excellent event

**Measurable Outputs**:

- Manage all event organisation and preparation processes to achieve agreed timescales
- Meet all event planning deadlines and objectives
- Achieve consistently positive feedback from all stakeholders in national conferences and training events (Frontline workers, Head Office staff, Managers and Executive Team, volunteers and attendees where appropriate)
- Projects/tasks set by the People Experiences Manager completed on time and to the expected standard
- Source suitable venues for each event
- Recruit the required number of volunteers for each event
- Achieve organisation of all events within the agreed timeframe, meeting all deadlines
- Culture:

- Sincere acceptance, understanding and practice of the Christian ethos and purpose of the Charity
