**Duties/Responsibilities**:
**Emcor are looking for a Works Planning Coordinator to join their contract at Anglian Water on permanent full time basis**

**Hours are: 0800-1700 Monday to Friday**

**Salary is: £22,672 per annum**

**Job Purpose**:
To manage all aspects of the Helpdesk systems required by the EMCOR contract. This includes Planned Preventative Maintenance (PPM), Reactive Works, and Project Works in accordance with both client and EMCOR Facilities Services requirements. The requirement to communicate clearly with other personnel and departments and win the commitment of others to achieving high levels of operational performance.
- To be the ‘point of contact’ for EMCOR UK on a high profile Contract by receiving calls via the EMCOR Helpdesk and to provide administrative support to the wider operational and non-operational areas of the business. Confident telephone manner and experience of dealing with subcontractors

Ensure that any reported breakdowns and tasking requests are logged onto the client Asset Management System (AMS) and allocated a unique reference number.
- Maintain clear and effective lines of communication with facility staff and end user community.
- This shall include, but not be limited to, the communication of reference numbers, work progress reports and status updates.
- To provide administrative support to both operational and non-operational areas of the business.
- To liaise with all areas of the business within the EMCOR Contract to ensure that our Client receives excellent customer service.
- Undertake customer satisfaction questionnaires of completed works and record the feedback.
- Where the feedback is negative, forward to the appropriate Manager for further action.
- This is not a safety related post, however the incumbent will carry out the activities of the post in a way such as to maintain, as far as is reasonably practical the health, safety and welfare of Company personnel and others and to safeguard the condition of the environment as required by the Company safety manual

**Duties**:

- To effectively administer the EMCOR CAFM system in relation to PPM, projects and reactive maintenance on the contract.
- To monitor and record the response of EMCOR Technicians to Help Desk requests and to ensure customer satisfaction with the service
- To control the administration of Planned Maintenance, reactive and projects process, in accordance with EMCOR standard procedures including the issuing and tracking of all work dockets/work orders
- To monitor and record the response of EMCOR Technicians to Planned Maintenance, reactive and projects dockets and to ensure follow up works are logged and completed
- To control the administration of sub-contractors and suppliers in accordance with EMCOR standard procedures including the issuing and tracking of purchase orders and sub-contract instructions, operational outlook programmes/site visit documentation, and the induction of sub-contractor visitors to site
- To ensure the operation of the out-of-hours telephone answering service ensuring messages are relayed and actioned in a timely manner
- To receive and make welcome all visitors to the EMCOR site accommodation ensuring they are correctly hosted and not allowed to wander un-escorted in workshops or the clients site in general
- The overall operational output and performance of the Help Desk facility
- To compile and distribute data relating to utilities, maintenance work and operational costs
- Prepare any required reports generated from the CAFM system and/or manual
- Provide general administrative support to the contract
- To carry out all reasonable tasks that may be requested from time to time by the client or EMCOR management
- To uphold and promote the good name of EMCOR at all times
- To ensure compliance with KPIs and SLAs
- Creation and submission of the monthly KPI report & any other report required
- To cover the Helpdesk Operative as and when required
- Be an ambassador of the EMCOR Group (UK) plc.
- To follow EMCOR’s Code of Conduct and comply with the Client’s company rules and maintain a high standard of discipline.
- To carry out other duties as may be reasonably requested from time-to-time by EMCOR Group (UK) plc

- Proven experience within a similar role
- Experience of CAFM Management
- Experience of SLA’s and KPI Monitoring
- Good IT skills including MS Word, Excel, Power point and Project
- Good level of interpersonal and customer relationship skills
- Smart, presentable appearance
- Ability to work under pressure
