**Conference Porter**
Full time: usual hours being 7am to 4pm (Mon to Fri), 1 hour unpaid lunch, flexibility required to work some evenings and weekends which will attract overtime or TOIL
Reports to the Conference & Events Manager
**Main Purpose of the role**
Responsible for the day to day setting up, management and running of our conference and events across site.
**Role Responsibilities**:
- Assist in setting up conference and meeting rooms including arranging tables, chairs, audio-visual equipment, signage and any additional materials to meet client and event needs. Configure room layout and seating arrangement as per event requirements.
- Ensure that all audio-visual equipment, including projectors, screens, sound systems, microphones etc are set up correctly and in good working order. Provide technical assistance and troubleshoot any issues that may arise during the course of the event.
- Manage the efficient turnaround of conference and meeting facilities, ensuring cleaning, reconfiguration of furniture and preparing the room for the next meeting
- Provide excellent customer service at all times. Greet and guide conference and event attendees on arrival, provide directions and assistance with registration and check-in processes. Provide a concierge service to answer any general questions about site facilities.
- Communicate effectively with internal Operations team members and external support providers to ensure the smooth running of conference and events.
- Undertake regular audits and inspection of meeting facilities and ensure any issues are highlighted and addressed with our Operations team.
- Co-ordinate conference and event logistics, transporting equipment, managing deliveries and stores for materials and supplies.
- Co-ordinate with our in-house catering team to ensure tables are in place for any food and beverage requirements.
- Assisting with customer onboarding and other ad hoc duties as required by the wider business.
**Additional Duties and Responsibilities**:
Flexible working - due to the nature of the business and its operational requirements, a flexible approach to working hours and schedules is necessary with some weekend and evenings required
The role will involve periods of lone working.
**Person Specification and Qualifications**:
**Essential**
- Have outstanding communication skills and able to convey information, coordinate tasks and provide excellent customer service
- IT literate with a particular emphasis on technical set-up of audio-visual equipment a good general understanding of Microsoft systems
- Able to perform physically demanding tasks such as moving equipment, setting up furniture and standing for long periods of time.
- Team player but also able to work independently under their own initiative.
- Have a friendly and professional demeanour, be responsive to customer needs, handling customer requests and inquiries promptly.
- Passionate and motivated, work under pressure as part of a team or unaccompanied
- Exceptional attention for detail with great organisational skills
- Able to work flexible to meet the needs of the business, evening and weekend work may be required (contract will require a flexibility clause which I will cover below)
- Smart presentation
- Understanding of event planning and management principles
- Skilled in setting up conference venues, including arranging furniture, audiovisual equipment, signage and able to trouble shoot technical equipment.
- Demonstrate excellent attention to detail to ensure event sets ups are accurate and all the necessary arrangements are in place.
- Able to think quickly, make decisions under pressure and resolve problems efficiently to ensure events run smoothly.
- Excellent time management skills and able to prioritise tasks, work efficiently and meet deadlines
**Desirable**
- Experience working in a customer service focused environment
- Clean driving licence
**Job Types**: Full-time, Permanent
**Salary**: £23,000.00 per year
