**Join Our Team Commercial Administrator (Maternity Cover)**
This is initially a full-time temporary post to cover maternity leave for a period of 12 months. Subject to continued business growth, we anticipate the opportunity for this post to be extended and become permanent.
**Responsibilities**:
- Ensure invoices are generated accurately and in a timely manner according to contract terms.
- Maintain records of invoices issued and payments received.
- Create new job entries on ERP system.
- Ensure all relevant estimates and project details are accurately loaded into the system.
- Regularly update price lists from vendors within the ERP system to ensure accurate pricing information.
- Upload internal quality assurance paperwork onto ERP.
- Manage the completion paperwork for jobs and ensure data is loaded against the appropriate job.
- Provide weekly snapshots on customer orders.
- Regularly review projects to ensure materials are recorded correctly.
- Perform reconciliation at the end of each project to ensure accuracy.
- Analyse timesheets and notify relevant parties of any issues with job cost or general ledger time booking.
- Handle various supplier management tasks such as uploading files and sending out questionnaires when required.
- Oversee fixed asset tracking, ensuring alignment with financial records.
- Other tasks as may be assigned by your line manager.
- Manage Staff expenses for working away.
- Cover for Stock Controller & Administrator as required.
**Job Requirements**:
**_ Essential:_**
- Previous experience working with supplier contracts and contract terms.
- Commercial risk awareness.
- Excellent IT skills in MS Excel and proficient in Word.
- Adaptability to prioritising tasks.
- Ability to demonstrate high standards of customer care.
- Ability to maintain appropriate levels of confidentiality.
**_ Desirable:_**
- Previous experience in an accounting role.
- Previous experience with ERP systems.
- Good interpersonal skills.
