**THE POST**

The post of Administrator in the Physical Education Department is a part-time post, 20 hours per week, designed to support the Director of Sport in the smooth running of the various activities of the Physical Education Department. Whilst the post is term-time only and part-time it is expected that the person appointed will work additional hours on the days of major events, such as the Gym and Dance Show, Sports Award Evening and Sports Day. The PE Department at St Helen’s is a busy one, with a large number of students taking part in co-curricular activities. External coaches also assist the department in the delivery of co-curricular sport. The department also organises whole school events that involve hundreds of students and spectators. These events take place at various intervals in the school year and require a huge amount of administrative support.

**REPORTING TO**:
The Director of Sport

**MAIN RESPONSIBILITIE**
- Working with the Director of Sport and the Physical Education Teachers to ensure the smooth running of the department, including:

- Production and distribution of trials letters
- Production and distribution of acceptance/rejection letters
- Collation of reply slips
- Organisation of teamsheets/results
- Support in the production of the documentation for GCSE Physical Education
- Support in the production of the documentation for A Level Physical Education
- Administrative support for the Gym and Dance Show
- Working with the Physical Education Department and with the Head of Co-Curricular Sport to ensure the smooth running of the co-curricular programme, including
- Preparation and publication of the programme
- Allocation of venues
- Creation and maintenance of accurate registers
- Working with the Physical Education Department and those with responsibility for trips and visits and marketing to ensure the smooth running of trips and tours, including
- Creation of documentation needed prior to trip/tour
- Collation of necessary permission slips
- Necessary logístical arrangements, including risk assessments
- Other administrative tasks as agreed with the Director of Sport which may include the following general administrative duties;
- Receive, prepare and distribute correspondence, internally and externally mail and despatch outgoing mail
- Provide an initial point of contact for parents and visitors to the Physical Education Department ensuring high levels of customer service
- Provide day to day general administrative support including; photocopying, management of filing systems, printing, and department minute taking

5. Other Duties:

- Carry out such duties as may reasonably be required by the Head of Prep.
- Support and promote the school’s ethos, aims and objectives.
- Work towards and support the school vision and the current school objectives outlined in the School Strategic Plan.
- Promote and safeguard the welfare of pupils and adhere to and ensure compliance with the School’s Safeguarding and Child Protection Policy.
- Work within the School’s health and safety policy to ensure a safe working environment for staff, pupils, and visitors.

- Help sustain a school culture and curriculum which promotes an ethical education for all including promoting positive strategies for challenging discrimination of any kind.
- Maintain high professional standards of attendance, punctuality, appearance, conduct and positive, courteous relations with pupils, parents, and colleagues.

- Undertake other reasonable duties related to the job purpose required from time to time.

**THE PERSON**
- Previous high-level PA/Secretarial experience essential
- Ability to build an instant rapport with young children.
- High level of literacy skills (proof reading and letter drafting).
- A highly organised individual with the ability to plan and organise work effectively.
- Ability to think ahead to establish an efficient and appropriate course of action for self and others.
- A confident self-starter with a willingness to be accountable for actions.
- Prioritise and plan assignments considering all the relevant issues and factors such as deadlines.
- An excellent communicator who can stay calm under pressure and ensure the smooth running of diaries and completion of tasks/ issues.
- Excellent IT skills with advanced Microsoft Office, Excel databases etc.
- Ability to demonstrate tact and diplomacy.
- A high degree of confidentiality and integrity.
- A professional and credible manner.
- Good literacy skills and articulate
- Flexible with hours to support the needs of the role.
