**PA to the Provincial and Trustees**

**Part time (3 days a week flexible) - salary £15,000 _pro rata_ for 3 days**

The PA is a key member of the staff of the Trustees of the Presentation Sisters based at the convent in Matlock Derbyshire. Together with other staff, the PA supports the Provincial and Trustees. The PA must be able to work independently and observe confidentiality and discretion on all matters relating to their work.

The role provides a full range of secretarial and administrative support to the Provincial, who with the Trustees, are the Leadership Team of the Congregation. The role is a vital part in the administration and smooth running of the Charity, with responsibility for specific tasks. Most work involves both written and oral communication, extensive use of IT, organisational skills, as well as the ability to multi-task and work well under pressure. The role requires a team player with the ability to be able to cope in all circumstances.

The role will include using a variety of software packages such as Microsoft Word, Outlook, Excel, Access, Desktop Publishing and PowerPoint to produce correspondence and documents, maintain and update files. Skills required include good command of the English language - verbal and written. The PA must be able to operate and ensure that office equipment is maintained and all administration processes work effectively.

Typical responsibilities of the job include:

- On behalf of the Provincial, maintain Information flow to Trustees, other employed staff and with the Charity’s other locations
- Draft correspondence on behalf of the Provincial
- Take accurate minutes of meetings including the Care Home Management Board
- To work with other key staff including the Care manager, Finance Consultant as required.
- Deal with queries, sorting and distributing incoming post, sending outgoing post
- Organise meetings, physical and remote, and events for the provincial and her team
- Word processing, photocopying, producing minutes, reports, and prepare presentations
- Creating and managing methodical filing systems, both digitally and in hard copy
- Ordering and maintaining office supplies, stationery and equipment to an appropriate level, recording office expenditure, liaising with suppliers and passing invoices for payment once goods and invoices are checked
- Maintaining the condition of the office as a safe environment, good understanding of Health and Safety procedures
- Contributing to social events and celebrations at the Convent
- Undertake appropriate training when necessary

**Job Type**: Part-time
Part-time hours: 15 per week

**Salary**: £15,000.00 per year
