**JOB DESCRIPTION**:
**Responsible to**: Headteacher

**Line Manager**:Headteacher’s PA

**Purpose of Post**:
To provide administrative support to the Headteachers PA and HR Manger

**Main Duties and Responsibilities**:

- Provide administration support for the Headteachers PA as required ensuring efficient and effective support for the school
- Carry out administration and filing tasks, ensuring clear procedures are in place and files are accessible to authorised staff members
- Attend and minute any meetings as required including staff briefings.
- Organise and arrange functions, meetings and conferences including refreshments as and when required
- Deal with routine calls on behalf of the Headteacher and Headteacher’s PA
- Support the Headteachers PA with the smooth running if the Governing Body
- Take responsibility for ensuring the HR Manager receives timely information relating to staffing
- Provide administration support for GDPR, to obtain and record relevant information required to process SAR and FOI requests.
- Maintain accurate records in various databases including staff training
- Track and identify staff training needs as they arise.
- Provide effective and timely administrative support to the smooth running of the whole school pupil premium programme.
- Helping to allocate pupils to mentors under guidance from SLT.
- Assessing mentoring meetings completed and not completed by mentees.
- Analysing staff that do not complete their meetings and providing reminders.
- Assessing the participation of both pupil premium and SEN pupils in extra curricula activities by year group and keeping accurate records of such participation.
- Monitoring any variances from the published extra curricula timetable to activities that are happening as evidenced via ‘Edulink’ registers.
- Organising your specific workload so that the above points are completed on a half termly basis. This will involve meeting the SLT link and presenting the information in a neat and accurate manner.
- To provide support to the HR Manager as required.
- Assist with staff recruitment including preparation of all advertisements, and submission of all documents for publication
- Prepare and distribute interview schedules and obtain references prior to interview
- Assist with the administration of pre-employment checks
- Maintain the schools staff list, review and update as changes occur
