Reporting into the HR Director and managing, coaching and developing a small but busy team, you will be responsible for the delivery of a coordinated first tier service to all colleagues and people managers across Rubix UK and Ireland.
The HR Shared Services Manager is ultimately responsible for the accurate and timely execution of all HR administration and operational tasks and activities, whilst also coaching the team to deliver an exceptional, customer first service at all times.
The role holder will also take responsibility for the management of our recruitment strategy, working collaboratively with the full HR team to deliver the end-to-end recruitment process.
**Main Tasks and Deliverables**:
**Shared Services Team**
- Directly line manage the HR Coordinators, coaching and developing them to deliver high standards of service to our stakeholders across the business
- Oversee the day to day delivery of all HR administration activities, delivered by the HR coordinators via the management of a central HR inbox, supporting with any escalations
- Work with the Payroll manager and support with all payroll related queries when required
- Manage the HR coordinator team to ensure that all new starters and leavers are processed in a timely and accurate manner, ensuring all system changes are processed and all necessary contractual documentation is completed
- Manage the HR coordinator team to ensure that any employee changes are processed accurately, in line with agreed policies
- With the support of the HRMI Analyst, plan and execute the cyclical HR activities across the employee lifecycle, e.g. pay review, bonus payments, tracking of PDR activity, NMW pay increase, P11D processes
- Take the lead on any specific projects as directed by HR Director, e.g. Gender Pay Gap
- Act as the account manager for all HR systems, e.g. Zellis, ensuring full optimisation of the HR system.
- Take ownership for optimising all HR administration processes, continuously seeking ways to improve our service offering to our stakeholders across the business
- Management of benefits provision
- Take ownership for the management of all 3rd party providers with respect to employee benefits, ensuring full clarity is maintained of all contracts, plus taking the lead on the management of any annual renewals
- Management of pensions administration
- Work collaboratively with the HR Analyst each month to ensure that all legislative pensions reports are completed in a timely manner.
- Take direct ownership of pensions reporting.
- Act as the point of escalation on any pension related queries that the HR Coordinator team are unable to answer
**Recruitment Activity**
- Full responsibility for managing the recruitment budget and ensuring return on investment for all spending, providing regular reporting to HR Director
- Act as the overall lead on the delivery of our recruitment activity, holding regular meetings with the wider HR team who are working on vacancies, to review progress, manage any escalations, track progress of all open vacancies
- Take the lead on managing all vacancy approval management and tracking, using tracking methodologies as appropriate
- Work collaboratively with the Senior HRBP to ensure the recruitment needs of our senior stakeholders are effectively understood with respect to current requirements and where appropriate, building talent pipelines
- Work with our ATS provider, Avature and Resourcebank to develop a suite of recruitment analytics that demonstrate all core resourcing metrics and target our efforts in recruitment activity based on evidence and data
- Consistently explore new ways to advertise and headhunt the best talent for each of our roles
- Act as the account manager for our 3rd party provider of our ATS system (Resourcebank), taking full responsibility for managing the contract and service provision (including regular reviewing meetings) and working with them to maximize the benefits systemand that we continually optimize the tools available to us
- Manage the contracts with 3rd party providers with respect to job boards and our external advertising channels, including negotiating any annual renewals and tracking of expenditure on in line with management of the overall recruitment budget.
- Leading the management of 3rd party recruitment agencies where required, monitoring their performance and effectiveness in filling roles and in terms of business feedback.
