**Job summary**:
The School of Physical Training (SofPT) is seeking a dedicated and organised individual to join our team as an Administrative Assistant. This role is crucial in providing proactive and reactive administrative assistance to ensure the smooth running of the SofPT and Physical Education Flt (PEd Flt) programs.

**Job description**:
Location: RAF Cosford - School of Physical Training (SofPT)

The SofPT is currently seeking a dedicated and organised individual to join our team as an Administrative Support Assistant. This role is crucial in providing proactive and reactive administrative assistance to ensure the smooth running of our SofPT and PEd Flt programs.

**Responsibilities**:

- Manage work service requests for the SofPT, including coordinating with contractors and monitoring overdue tasks.
- Input data into TAFMIS and JPA systems, including arrivals/clearances and updating competencies.
- Transcribe, update, and publish orders, responsibilities, and processes to the SofPT Training Quality Manual (TQM).
- Maintain electronic filing systems, including various database systems, to ensure accurate and up-to-date information.
- Conduct quality audit checks in accordance with JSP822 guidelines as directed by the line manager.
- Produce and monitor the Staff Planner to ensure efficient scheduling and resource allocation.
- Update the School Battle Rhythm, outlining key events and activities.
- Scan Lesson Evaluation Forms and upload them to SharePoint.
- Undertake regular stationery stock checks, manage inventory, and distribute necessary forms, diaries, and stationery.
- Manage the SofPT Visitors Book and arrivals related paperwork.
- Control the Key Register and maintain relevant documentation.
- Handle incoming and outgoing mail.
- Ensure all posters and signage are current and relevant.
- Provide occasional administrative support in PEd Flt if workload allows or directed by manger.
- Greet visitors and act as the first point of contact.
- Assist with miscellaneous administrative tasks as directed by the line manager.
- Deputise for the E1 (senior staff member) in their absence.

**Person specification**:
Essential Experience:

- Proven experience in an administrative support role.
- Experience in managing work service requests and coordinating with contractors.
- Familiarity with inputting data into systems.
- Experience in transcribing and updating manuals or similar documents.
- Knowledge of electronic filing systems and database maintenance.

Skills and Abilities:

- Strong organisational and time management skills to prioritise tasks effectively.
- Excellent attention to detail and accuracy in data entry and document management.
- Proficiency in using office software, such as Microsoft Office and SharePoint.
- Ability to handle multiple tasks and work under pressure to meet deadlines.
- Good communication skills, both written and verbal.
- Professionalism and pride in delivering high-quality administrative services.
- Ability to work collaboratively in a team environment.
- Flexibility and adaptability to handle occasional admin tasks outside the core role.
- Customer service-oriented approach to greet visitors and act as the first point of contact.
