**Job description**

This is an exciting opportunity for an experienced administrator to join the existing small team of staff. We are looking for someone who will be able to carry out the bookkeeping, administration and office duties required to ensure the smooth running of the Museum.

**About us**

Nantwich Museum was set up in 1980 in the town’s former Victorian library. Exhibitions inform visitors about trades, people and events of the past and a temporary exhibition gallery is available for approximately five art or history-based exhibitions each year. Staff are supported by a large team of volunteers who are involved in all aspects of the running of the Museum. The Museum runs an education service and offers talks, walks and other activities.

**Major areas of responsibility**

1. Placing and processing orders; invoicing for goods and services provided by the Museum. Banking monies received and responsibility for petty cash.

2. Maintaining financial spreadsheets and our accounting software, SAGE.

3. Submitting Gift Aid Claims and submitting VAT Refund claims.

4. Processing online shop orders.

5. Maintaining payroll information and transmitting financial information to the Treasurer.

6. Ensuring that renewals (e.g., insurance) and licences are kept up to date.

7. Taking energy meter readings and ensuring that bills are correct.

8. Taking and managing bookings for the Millennium Gallery.

10. Inputting information into various databases including the recording of key performance indicators which would require Excel skills. Word processing letters, forms and other documents as required. Answering and making telephone calls when necessary. Taking messages.

11. Supervising volunteers and ensuring that the front desk is adequately staffed by volunteers and the desk and electronic diaries are kept up to date.

12. Ordering office stationery and equipment.

13. Producing a weekly ‘What’s On’ sheet for front desk volunteers.

**Additional responsibilities**

1. Being a Museum key holder

2. Creating and maintaining filing systems

3. Undertaking any other administrative duties to ensure the smooth running of the Museum

**Required knowledge and skills**
- Bookkeeping experience
- Experience of working with SAGE or similar accounting package
- Good information technology skills
- Good interpersonal skills
