**Background**

We are seeking an ambitious and dedicated GP Practice Administrator (experience is advantageous) to join our practice situated in Birmingham, Sheldon.

Proficiency in Systm1, Microsoft Outlook and ERS is an advantage.

This is an exciting time to be involved in GP backoffice administration where refined and new working models as well as the adoption of new technologies, is driving efficiencies around access, quality and outcomes in the primary care domain.

The role of our Administrator requires an individual who has a keen focus on detail and organisation. The underpinning of all work is patient centred care and it is important for the role holder to support established and developing processes to improve outcomes for both the patient and the clinicians providing the care.

**About the Practice**

Downsfield Medical Centre is a forward thinking training practice of just under 5000 patients. Our warm and friendly surgery is led by one senior GP partners, supported by two salaried GPs and two Advanced Nurse Practitioners. We also have a diverse multi disciplinary team consisting of a practice nurse, pharmacists and nurse associate. The practice is also supported and managed by a strong and experienced team of managers, practice leads, admin and reception staff.

**Scope of the role and duties**

**Main duties**

Support the clinical team in the administrative side of delivering timely chronic disease checks, referrals, documentation management and rotas.

Provide administrative support for performance statistics and reports required by senior leadership, ICB and other Primary Care Partners as directed by Management.

Manage outbound calls to patients as part of any call or recall process, ensuring they are booked in to see the appropriate clinician.

To manage any data base searches to support research requests.

Support any Audit or inspection activity e.g. CQC.

Support the tasks provided in the clinical system specific to patients as directed by the clinical team.

Support the introduction of any new methodology or systems upgrade.

To initiate and process electronic referrals in the absence of the medical secretary.

To process patient correspondence using the current document management process within the clinical system in the absence of the medical secretary.

To participate in coding patients records in line with coding protocols.

To participate in team and wider projects.

Acting as a focal point for the practice managing requests from external organisations such as the local police, solicitors, DVLA and other agencies

Coordinating the provision of temporary administrative and reception staff, ensuring sufficient cover is provided for periods of leave and other staff absences

Updating the appointment system to reflect leave and other approved absences

Produce meeting agendas and record the minutes of meetings

Assist with QOF targets

**Person Specification**

**Qualifications/Education**:
GCSE (or equivalent) English and maths

**Previous Experience**:
Previous administrative / clerical experience, ideally gained within a healthcare setting

Experience with system clinical system (desirable)

Track record of data / information management using computerised / paper-based systems

Experience of dealing with members of the public either face to face or over the telephone

**Knowledge and skills**:
Excellent organisational skills

Able to effectively manage and prioritise own workload

Ability to work both within a team and independently

Makes effective and considered decisions, but understands when to seek advice and guidance

Excellent communication skills, both verbal and written

Able to deputise for the Medical Secretary when required
