**The primary purpose of this role is to provide administration support to the Secretarial team as well as the wider business.**:
**Key Responsibilities**:

- Opening office each morning/screening night service messages
- Checking, logging, and distributing incoming ships mail items
- Processing outgoing courier shipment requests and preparing associated paperwork
- Processing ships mail despatches and associated courier requirements
- Circulating weekly ships mail despatch lists
- Monitoring stock and ordering FedEx packaging
- Administering switchboard everyday business calls and forward to relevant departments
- Providing Reception for checking in guests and clients
- Processing requests for visitor WI-FI password
- Processing catering and transportation requests
- Updating catering schedule & distributing updates to catering team
- Updating EL-VIS system with details of forthcoming office visits
- Updating INFORUM Employee Photos site
- Providing digital & hardcopy photos for Visa Applications
- Providing front desk/ switchboard cover for Scotia House when required
- Support with process mapping of facilities processes
- Support with other admin tasks like ordering food and raising purchase requisitions
- Support Facility manager with any additional admin tasks
- You may be asked from time to time be asked to undertake other tasks that are considered to be relevant to your position.
- Extensive experience with MS office packages including Teams, Outlook, and MS Word
- Excellent interpersonal skills
- Educated to standard grade or equivalent experience

**This role has a commitment for hours working from 3pm to 6pm Monday to Friday in the office. Hybrid working is not available**
