Bishop Middleham Village Hall sits at the heart of our community providing both space and opportunity for community members to come together and connect. The Hall hosts a number of regular groups suitable for all ages, aimed to support social inclusion, kinship, health and wellbeing. It is also a bookable facility for private functions, performance, fitness and meetings.

The Hall is run by a small number of Trustees, all volunteers who have work and family commitments. We are seeking to appoint an Administrator and Bookkeeper to support the day to day running of the hall, building capacity to refocus efforts on rejuvenating the Hall and ensuring it remains a relevant and valued asset within our community.

The Administrator and Bookkeeper will work closely with the Trustees and volunteers and will be a key contact for all in our community. You will provide a warm and professional welcome and to all users and enquirers, demonstrating our shared values of community and inclusion.

The Administrator and Bookkeeper will lead on the administrative tasks associated with the day to day business of the Hall with a particular emphasis on bookings, invoicing and book keeping.

The post will be based at Bishop Middleham Village Hall, although remote working may be possible. A laptop and phone will be provided for work purposes.

**Job Specification**
- Typical Duties and Responsibilities _

Manage all Hall bookings and communications with new and regular Hall users, liaising with the Facilities Manager on schedules and room set ups.

Day to day bookkeeping tasks, including but not limited to:

- Ensuring accurate and timely invoices are raised and payments received.
- Receipting cash payments.
- Maintaining account records and regular reporting to Trustees.
- Maintaining accurate administrative records and streamlining systems to improve efficiency wherever possible.

Support the Trustees with any other duties within the remit of this job description and available hours, such as:

- Producing and managing marketing materials and administrative tasks to support the planning and delivery of events and activities.
- Maintaining CIO’s policies and procedures and adhering to its core values.
- Ensuring the Hall is compliant with all legislation and Health and Safety requirements.
- Supporting Trustees in seeking utility providers and maintenance services as required.

- Essential requirements_
- At least 2 years’ experience in an organisational role.
- Experience in bookkeeping.
- Grade 6 or equivalent in GCSE Maths and English.
- Experience of using Microsoft Office in an everyday capacity, including Excel.
- Excellent interpersonal skills with the ability to recognise and respond appropriately to situations requiring tactful or diplomatic handling at all levels.
- Good organisational skills and communication skills; online, verbal and written. Ability to work at a high standard, multi-task and manage own workload and time appropriately.
- Work within an established community, fostering active engagement. Ability to establish and maintain relationships with Hall users and groups.
- Good marketing skills with the ability to manage all forms of social media.
