**Position**: Education Administrator

**Reports to**: Farming and Rural Skills Education Manager

**Salary**: £24,000 pro rata (£14,400)

**Hours**: Part Time (22.5 hours) Core hours Monday - Friday, 9:00am - 1:00pm (20). Flexible working will make up the remainder of the balance, including evenings/weekends.

**The Role**:
Our Farming and Rural Skills offering is being expanded through the development of a new national centre for excellence - The MacRobert Farming and Rural Skills Training Centre. The centre will provide training for new entrants to the sector, as well as assisting those already working in the industry to diversify and hone their skill set.

The post holder will be responsible for the smooth running of the MacRobert Farming and Rural Skills Training Centre by carrying out administrative tasks and will work closely with the education office team.

**Key Tasks**

Record Keeping
- Responsible for the maintenance of accurate records, systems and paperwork
- Assist with the tracking and monitoring of student progress and performance in consultation with Education Managers/Coordinators and Education Director including updating booking master and calendar for school day visits and certificated programmes.
- Compile regular data reports on attendance stats for evaluation purposes.

Promotion
- Create leaflets and literature to promote programmes and activities.

Finance
- Manage the invoicing of visit and hire fees
- Ordering stock and equipment as required

Programme Co-ordination
- Support the Education Manager in arranging external tutors/consultants for the delivery of education activities, workshops, and training.
- Work with Vocational Skills Co-ordinator to assign trainees to placements with host organisations. Ensuring all necessarily paperwork/insurances are in place prior to placement commencement.
- Update and maintain communications with all necessary parties in relation to industry placements and qualification assessment.
- Liaise with central office in regard to minibus bookings

General
- Main point of contact for enquires.
- Facilitate the smooth running of building hire and events.
- General support as necessary of the wider education offering at Dumfries House and assisting when required with events both on the estate and offsite.
- Maintain familiarity with The Prince’s Foundation handbook and relevant HR procedures.
- Undertake any other duties as may reasonably be required of you in the post.

It is in the nature of the work of the Prince's Foundation that tasks and responsibilities are, in many circumstances, unpredictable and varied. All staff are therefore expected to work in a flexible way when the occasion arises that tasks which are not specifically covered in their Job Description must be undertaken.

Person Specification

Essential skills, Knowledge and Experience
- A track record in an administrative role.
- Data tracking / managing information systems.
- Ability to work proactively and flexibly under pressure and to achieve set objectives.
- Open and positive communication style.
- Strong written communication.
- Administrative and project support experience.
- Strong organisational and time management skills.
- The ability to communicate efficiently and clearly in spoken and written language with people from a wide range of backgrounds.
- Highly competent in Microsoft Office packages

Desirable
- Familiar with Mailchimp and creating external communications.
- Familiar with creating promotional literature.

Other
- The post is based at the offices of the Prince’s Foundation at the Dumfries House Estate, Cumnock, Scotland KA18 2NJ.
- Part Time (22.5 hours) Monday - Friday, 9:00am - 1:00pm. Flexible working will make up the remainder of the balance, including evenings/weekends.
- The post holder should have a current, clean driving licence. - Occasional lone working will be required due to the nature of the estate.
- You must have the legal right to work in the UK.
