**JOB DESCRIPTION - FINANCE ASSISTANT (SALES LEDGER)**

Full time - 37.5hrs/week - (remote working option for some days of the week once fully inducted and settled in the post)

Salary - £26,000 - £29,000/annum, depending on experience

Our company is a Supported Living provider for individuals with Mental Health and Learning Disabilities and due to growth, we are looking for an experienced Sales Ledger Finance Assistant to join our team at our Head Office in central Bristol.

Main duties will include:
Sales Ledger, Data Entry, Credit Control, updating customer and contract database and other invoicing systems. Must have experience in producing invoices via a recurring sales order/invoicing system (Sage or similar) or other automated system. Experience with Local Authority invoicing would be ideal. This position will require flexibility as other accounting/admin tasks will need to be undertaken.

Must have good Excel skills to include templates, formatting etc. Other skills/competences - excellent communication skills to include good telephone manner, confidence, accuracy, attention to detail, good team work ethic and a friendly and helpful attitude.

**SALES LEDGER/INVOICING**

**What is this - **Tasbooks (similar to Sage) used to create and post sales invoices both on manual basis and on recurring basis for sales invoices.

**Skills Required - **Accurate cross checking with reports, accurate data entry, attention to detail, timely completion.

**Frequency - **As per determined frequency dates - i.e., fortnightly, four weekly, monthly and ad-hoc.

**CM2000/South Glos.**

**What is this - **Software commissioned by South Glos. for its providers to record one to one care visits and to produce invoices.

**Skills Required **- Attention to detail, systematic approach

**Frequency -** weekly within cut-offs (requirement of the system)

**SALES RECEIPTS**

**What is this - ** Direct credits from bank statement to Tasbooks via recurring transaction manager/accounting software. Receipts matched to remittances received from Local Authorities and others.

Cheques from direct clients and others entered to Tasbooks and allocated to sales invoices created from sales order template.

**Skills Required - ** Accurate cross checking, accurate data entry, attention to detail, timely completion, previous experience at allocating payments to invoices

**Frequency** - Daily

**WEEKLY FEE INCOME EXCEL SPREADSHEETS**

**Skills Required - **Accurate cross checking with reports, accurate data entry, attention to detail, timely completion, good allocation skills.

**Frequency **- Daily/Weekly

**SERVICE USER DATABASE**

**What is this: - **This is an Excel spreadsheet which reports all of the service user data and is updated in line with changes to the WFI.

**Frequency - **As changes occur

**MASTER HOURS**

**What is this: - **This is an Excel spreadsheet which reports the support hours for each house on a weekly basis.

**Frequency - **In line with payroll cut-off periods

**CREDIT CONTROL**

To provide the various variation reports to enable the local authorities/councils to process adjustments to subsequent payments. These are to be submitted in accordance with the local authorities’ policies and procedures.

Some local authorities do not have variance reporting, but payment errors should be followed up promptly so that the payments can be clawed back in the case of overpayments and made in the case of missed/underpayments.

**Frequency - **weekly or monthly, depending on local authority policy

**TELELPHONE ANSWERING**

Good telephone manner - friendly but professional.

**OTHER TASKS**

Various ad-hoc tasks as and when the need arises.

Please also note, the recruitment process will include an accounting, spelling, maths and excel test at interview. Successful applicants will need to provide two references from most recent previous employers, and undergo a Standard DBS check, the cost of which will be met by the employer.
