We are recruiting for a full-time PA /Medicolegal Secretary for Neuromindworks Limited, which is a company specialising in providing (neuro) psychology services in the context of litigation and rehabilitation. We are based in Sutton Coldfield. The role will be predominantly providing administration services for medico-legal assessments and treatment.
- Preparing and issuing standard quotations, contracts and other letters as part of the instruction process.
- Monitoring of the receipt of documentation necessary to complete instructions. This will require regular liaison with solicitors.
- PA/ secretarial support to the company director and one or more of the company’s psychologists.
- Management of psychologists’ diaries to ensure all activities are scheduled in a timely manner, and with a view to minimizing travel.
- Formatting, proofreading and circulation of reports and notes.
- Production and issue of session summaries, reports and other documents from dictation and/or handwritten notes.
- Summation of medical records.
- Support the invoicing process by keeping accurate records of meeting durations, journey mileage etc.
- Maintaining records of active clients and associated contact details in an excel database.
- Maintaining client therapy records in line with the terms agreed for each client.
- Ensuring clients are reminded of upcoming appointments.
- Issuing relevant client information to solicitors or case managers as and when requested.
- Making travel and accommodation arrangements as and when required.
- Use client records to prepare a client status report for monthly management meetings.
- Attend and minute monthly management meetings.
- General administration including purchase of office supplies, photocopying, scanning and management of paper files.
- Undertaking, from time to time, other administrative or secretarial/ PA activities as requested by the management team.

- Highly organized individual.
- Ability to prioritise own workload.
- Ability to follow detailed protocols.
- Strong communication skills.
- High command of the English language with supporting qualifications.
- Attention to detail.
- Excellent typing skills (minimum of 60 wpm with high accuracy).
- At least 2 years’ experience of working as a PA to a senior executive and/or a medical or legal secretary.
- Experience of proofreading documents which require a high command of the English language (e.g. legal/ academic/medical documents).
- Familiarity with Microsoft Office (including good Word and Excel skills).
- Familiarity with using document management systems.
- Familiarity with using electronic calendars.
- Familiarity with using office equipment such as scanners and photocopiers.
- Comfortable working in an environment where work may need to be rescheduled.
- Desirable_
- Previous medical and/or legal secretarial experience.
- Familiarity with medical terminology.
- Secretarial qualifications.
- Full clean driving licence.
- Qualification showing high command of English language (e.g. GCSE A-B).
- Experience of working in a fast paced changing environment.

**Salary**: £30,000.00-£33,000.00 per year
