**Hours: Part-Time, 25 hours per week (1pm - 6pm Monday to Friday)**
**Location: Douglas, Isle of Man**

**The opportunity**

We are seeking a friendly and professional Reception / Switchboard Assistant to join our vibrant team. The primary role of this position is to provide a warm welcome to visitors, manage a high volume of calls through our switchboard, and perform general administrative tasks.

**Key responsibilities**:

- Responsible for opening and closing the switchboard and reception services as per the designated times.
- Greet and direct callers and visitors with a friendly, professional demeanour and using the company-approved greeting.
- Schedule conference rooms, order supplies and maintain office equipment inventory.
- Handle administrative tasks as required and provide excellent customer service to contribute to a supportive team culture.
- Manage the reception lobby area and ensure completion of necessary paperwork, sign-in and security procedures.
- Supply information to callers, relay messages and announce visitors.
- Assist the Facilities Manager with delivery note processing, invoice processing, and budget tracking.
- Order and procure items associated with facilities and building management.
- Maintain a flexible and co-operative approach to accommodate changing business needs.
- Assist other administrative staff with overflow work, including word processing, data entry, and internet research tasks.
- Take responsibility for the correct use and care of reception and switchboard equipment and assist in control of inventory.
