Our friendly and well established practice has a current partnership made up of Dr Dave Howarth, Dr Jatinder Bratch (GP trainer) and Dr Kay Snowdon (GP trainer).
We have 1 salaried GP, 2 ANP's, 1 ECP and 2 registrars and a full complement of nurses in our team.
The practice administrative team consisting of receptionists, administrators, care coordinators and a workflow team which is led by Sharon Russell - Practice Manager.
The current list size is 8900 and increasing. We work in Denton Burn in the West of Newcastle and the practice boundaries are restricted to a 2-3 mile radius.
The majority of our patients are in employment, own their own homes, and have a means of transport to the surgery. The demography of our patients is reflective of an urban practice with an average mix of children, young people and the elderly.
We are a SystmOne practice with a list size of 8900. We are a training team with 2 of the GP Partners being trainers of registrars.
We are high QOF achievers and rated good by CQC.
Membership of Newcastle Outer West Primary Care Network allows access to First contact practitioners for both mental health and physiotherapists, health and wellbeing team, pharmacists and pharmacy technicians who now carry out many medicines' changes from hospital discharge letters.
**Job Summary**
The post-holder will provide generalist secretarial support to the GPs, Practice Manager and Health Professionals involving a high standard of word processing and audio typing skills, administering the practice’s referral process, and providing support to the practice’s administrative systems and processes if needed.
**Main responsibilities**
**1.** **Typing**
The post-holder will:
- Provide an efficient audio, typing and word processing service for GPs. This includes the typing of letters, reports, patient referrals and recording them on SYSTMONE.
- Type letters using Electronic Referral Service (ERS).
- Follow up any missed letters using SYSTMONE + ERS.
**2.** **Referrals Process**
The post-holder will:
- Administer the referral process, making appointments using ERS where necessary and to make private appointments where appropriate.
- Establish and maintain appropriate and relevant filing and administrative systems so that written or computer information is easily accessible and secure.
- Monitor the practice’s overall referral rate and usage levels of ERS as required.
- Deal effectively and quickly with all appropriate patient and/or clinician-initiated queries relating to ERS, appointments, referrals etc.
- Circulate updates relating to new referral criteria, ERS etc as appropriate.
- Ensure all 2-week referrals are processed in a timely manner and monitor compliance.
**3.** **Support to Practice Administrative Systems and Processes**
The post-holder will:
- To maintain the computer clinic system in an accurate and secure manner.
- To assist with the gathering of statistics and information when required.

**5.** **Health & Safety**
The post-holder will assist in promoting and maintaining their own and others’ health, safety and security as defined in the practice Health & Safety Policy, to include:
- Using personal security equipment in the workplace.
- Identifying the potential risks involved in work and deciding on the appropriate course of action to report/manage such risks.
- Making effective use of training to update knowledge and skills.
- Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.
