**Job Summary**:
The Receptionist at Tooting Works is a primary point of contact for clients, visitors, and tenants, requiring exceptional customer service, communication and organisational skills. Duties include greeting visitors, managing calls and handling enquiries. Additionally, the role involves administrative tasks related to tenant liaison, operations support and facility support. **We are looking for a receptionist with at least 1 year of previous experience as a receptionist who can foster a positive atmosphere and contribute to the effective functioning of Tooting Works.**

**Meet & Greet**:

- Serve as the primary point of contact for clients, tenants and visitors, delivering exceptional, welcoming customer service consistently.
- Notify tenants and staff promptly of visitor arrivals.
- Professionally manage incoming phone calls, ensuring prompt redirection to the appropriate department or individual.
- Maintain a log of visitor arrivals and departures for security purposes.

**Tenant Administration and Operations**:

- Foster positive relationships with tenants through regular communication and effective liaison.
- Assist the lettings team in coordinating tenant moves in and out, including arranging keys, fobs, post box, and parking permit allocations.
- Report any facility or operational issues to the relevant department promptly.
- Administer parking permits and oversee the parking permit offence procedure.
- Handle the receipt, sorting, distribution, and dispatch of mail daily.
- Efficiently manage Tooting Works Virtual Tenancy services, including agreements and associated administrative tasks.

**Communications**:

- Maintain regular communication with the operations and maintenance teams.
- Update tenant directories, reception TV displays, Outlook calendars, tenant contact details, and notice boards regularly.
- Address tenants' requests and any complaints promptly.
- Develop a good understanding of additional services offered, such as office upgrades and provide information to tenants and the community accordingly.
- Assist in drafting and sending out communications, such as newsletters or announcements.

**Meeting Room**:

- Help manage meeting room bookings using Tooting Works’ Nexudus software (training will be given), ensuring bookings are accurately recorded and confirmed.
- Coordinate with the maintenance team to ensure the meeting room is set up correctly, troubleshoot any equipment issues.
- Conduct regular checks of the meeting room to ensure it is neat for upcoming meetings.

**General Administration**:

- Procure office supplies for meeting rooms, main office and coworking spaces, including stationery, toners/cartridges, refreshments, etc.
- Maintain the neatness and organisation of the reception area consistently.
- Assist with organising and coordinating events or special projects as needed.
