**Job Overview**

We are an executive agency of the Department of Health and Social Care, and a distinct delivery organisation with operational autonomy. We provide government, local government, the NHS, Parliament, industry and the public with evidence-based professional, scientific and delivery expertise and support.

The Reference Services - Science department plays an important role in preparing for and coordinating responses to potential healthcare emergencies, including possible acts of deliberate release. In addition, the department undertakes both basic and applied research into understanding infectious diseases and is responsible for the UKHSA’s four Culture Collections and their associated services.

The Culture Collections Department operates a Biological Resource Centre that procures, maintains and supplies cultured human and animal cells and microorganisms (bacteria, viruses, fungi) for public health research and diagnostic testing. Based primarily at Microbiology Services - Porton, the Culture Collections Department has approximately 80 staff, performing a wide range of activities. The European Collection of Cell Cultures (ECACC) has more than 2000 authenticated cell lines, runs an extensive cell biobank and provides EBV transformation services.

**Job description**:
**Main Duties of the Job**
- Provide administrative support to ECACC.
- Assist in the timely processing of documentation and bring urgent matters to the attention of managers
- Assist with the management of internal and external meeting, teleconferences and workshop arrangements, travel, accommodation, agendas, requiring regular formal minute taking
- Maintain, and assist with developing/populating, databases, and paper and electronic file systems
- To assist Culture Collections senior staff with the maintenance of effective communications systems and networks within Culture Collections, Microbiology Services and UKHSA and, where appropriate, outside collaborators/partners
- Maintain and manage key physical and electronic filing systems for ECACC activities and projects, for example scientific information, project files, publications and presentations
- Assist in the production and dissemination of reports as required by line management
- Assist in the collation of internal and external reports (monthly, annual etc.)
- Deal appropriately with complex and sensitive internal and external enquiries and documents
- To be responsible for overseeing the timely and appropriate submission of timesheets and other HR forms and similar internal documentation
- Assist with the management of internal and external meeting and workshop arrangements, travel, accommodation, agendas, minutes, etc.
- Utilise modern office technology for efficient administrative and clerical activities including diary management, calendars, meetings
