We wish to appoint a suitably qualified Archivist with relevant experience to fully appraise the School’s Archives, in accordance with the recommendations of the recent Archive Scoping Report. This will include introducing a collections framework and a new catalogue to industry standards, in addition to initiating arrangement and documentation practices.

This is a unique and exciting opportunity to set up systems to preserve, manage and develop the historical and digital-born assets of the oldest school in Bath, and to curate suitable historical material to engage the School and wider KES community, ahead of the School’s 475th anniversary in 2027.

**Employment Status **Fixed Term: Full time for 6 months or part time for 12 months considered. There may be the possibility of an extension to this contract.

**Responsible to**:
Alumni Relations Manager for line management responsibilities and the Bursar & Chief Operating Officer, who has overall responsibility for support staff.

**Responsible for**:
The purpose of this fixed term role is to fully appraise the KES Archives in accordance with the recommendations of the recent Archive Scoping Report. This will include introducing a collections framework and a new catalogue to industry standards, in addition to initiating arrangement and documentation practices. This is a unique and exciting opportunity to set up systems to preserve, manage and develop the historical and digital-born assets of the oldest school in Bath, and to curate suitable historical material to engage the School and wider KES community, ahead of the School’s 475th anniversary in 2027. This role is jointly funded by the School and the Old Edwardians’ Association (the School’s alumni association).

**Main Responsibilities**

**Collections management**:

- Using the 2023 collections audit, to sort and appraise the collection, including the removal of unnecessary duplicates.
- Combining the existing catalogue (covering materials from 1852 to 1993), with the 2023 collections audit (including material received since 1993) to introduce a new catalogue to industry standards, enabling information about the contents of the archive to be shared.
- Developing a mission statement and collections policy.
- Introducing an accessioning procedure for all new material.
- Working with the School’s Data Protection Officer to identify archive material on school records schedules and to set up a system to ensure that historical material comes to the KES Archives.
- Identifying digital assets held by the School and develop a digital collections policy.

**Condition management**:

- Monitoring the environmental storage conditions to understand the issues around the current stores; introduce simple improvements to stores.
- Instituting simple conservation measures, such as repackaging.
- Formulating a plan to arrest the deterioration of negatives, têxtiles and scrapbooks highlighted in the Scoping Report.
- Investigating suitable longer-term storage solutions for the Archives that will also improve access.

**Using the collection**:

- Identifying themes and suitable archive items and material to appeal to different sections of the school and wider KES community, ahead of the School’s 475th anniversary in 2027. This to include costed proposals for creating engaging visual display material for the school site.
- Investigating the logistics and costs of developing a digital programme.
- Starting to build up a bank of digital resources and the technology to support it.
- Working with the Alumni Relations Manager to assist with answering archive enquiries.

**Reporting on progress**
Regular meetings with the Alumni Relations Manager and the Old Edwardians’ Heritage Committee.
