**PARISH ADMINISTRATOR**

**PART-TIME : 8 HOURS PER WEEK**

A vacancy has arisen for the role as Parish Administrator for the Parish. A key part of the role will be facilitating communication with parishioners, the Parish Priest, and volunteers working within the parish so that the administrative and liturgical systems run smoothly.

Hours of work: part-time 8 hours per week, days and times agreed with the Parish Priest.

**Salary**: £12.00 per hour.

**Experience and qualifications required for role**:

- Experience of working independently in a busy environment with many competing demands on time.
- Experienced Administrator with good administrative, time management and prioritisation skills
- Able to deal sensitively and confidentially with difficult situations.
- Computer literate, with experience of Office 365 including excel and publisher, and experience of using the internet and intranet.

Overview of the Diocese

The Diocese of Portsmouth comprises 87 parishes across Hampshire, Dorset,

Berkshire (except Slough), South Oxfordshire, the Isle of Wight and the Channel

**Overall Job Purpose**

**Purpose To provide a full confidential administrative and support service to the Parish Priest and the Parish as delegated by the Parish Priest, providing a sympathetic and efficient focal point for enquires and administrative support.**

**Key accountabilities**

**Ad hoc duties and projects**
- Carry out ad hoc duties as requested by your line manager

**Main Responsibilities**
- Routine parish administration and facilitation including:
**1.** Ordering of stationery

**2.** Ordering of supplies as requested by the Sacristans

**3.** Facilitating communication between parties involved in parish projects or areas of concern

**4.** Keeping parish registers for baptism, confirmation, reception and deaths

5. Preparing certificates and providing information from above registers

6. Keeping and updating parish records and making diocesan statistical returns

7. Purchasing stamps and keeping petty cash

8. Paying invoices
- Assist where necessary with drafting and distribution of a weekly parish newsletter and assistance with preparation of Mass sheets, Christmas and Easter and other liturgy sheets
- Provision as assistance for parish groups as requested
- Managing the parish calendar, helping to co-ordinate meeting times and locations
- Carry out administration associated with baptisms and funerals, ensuring all involved are kept fully informed
- Preparation of copyright reports
- Dealing sensitively and confidentially with parish requests and difficulties
- Handling enquires in the absence of the Priest wherever possible, and otherwise ensuring they are clearly passed on to the appropriate person
- Liaison with members of the Parish as appropriate to distribute letters, bills and notices
- Assistance in other areas when asked, encouraging and working with volunteers where this is desirable and practicable
