We are seeking an amazing receptionist/billing admin to join our team. We are an established and expanding freight and logistics business who offer professional services by air, sea and road for both export and import movements.

The 2 main duties for this role are reception and billing.

**Billing**:

- You will be required to cost and invoice all Livestock jobs, you will receive training on how to complete due diligence checks on all jobs to ensure full electronic paper trail, payment received and then scan all missing documents to electronic file before signing off as complete.

**Reception** - The company has an automated phone system so answering the phone is not part of your remit, with just the odd stray call which will need redirecting. The purpose of the receptionist is to provide front desk support to the business. Any person who enters the building will first be required to report to reception, this will include employees, temporary staff, delivery drivers, visitors and contractors. It is the responsibility of the receptionist to follow the companies processes to enable them to receive and assist all persons entering the building.

As front of house you will play a vital role in the safety and security of the business and all persons on our premises. You will receive training in the company’s security processes as well as the company’s health and safety processes and emergency procedures.

At all times you should maintain the reception in a safe, secure order.

Duties

**Receive visitors**- ensure that they are signed in, issue correct passes and inform appropriate staff member of their arrival.

**Assist and direct vehicles to goods in** - Check documents to ascertain where to direct them and who to notify of their arrival.

**Organise outgoing mail**- create Royal Mail postage labels as requested

**Receive letters/parcels**- Post and parcels for the running of the business should be received and distributed accordingly.

**Security **- Perform building security checks and bag searches in accordance with our procedures, assist Security Manager with Security admin, arranging ADT visits when necessary.

**Monitor Staff sign in/out** - Ensure compliance with our sign in/out procedures.

**Company Passes**- Create staff passes as instructed. Issue, record and ensure safe receipt of visitor and other temporary passes as well as car park passes.

**Admin **- Provide administrative support where assigned whilst maintaining document confidentiality in accordance with our document security processes.

Although the role requires a good level of independence, teamwork plays a big part, so a willingness to help in different areas of the business is crucial.

**Job Types**: Full-time, Temp to perm
Contract length: 6 months

**Salary**: £24,000.00-£26,000.00 per year
