Business Support and Operations Manager / Office Manager / Administration Manager

Company - An innovative, global, medical device company dedicated to improving the safety of patients, clinics, their staff and the environment by transforming the way infection prevention practices are understood and conducted. Based in Dublin this role will seethe appointed person take accountability for business supports including: order management and fulfilment (including the coordination/management of fulfilment and logistics partners); client/customer queries; support for the sales and servicing teams as neededand general business support administration.

Based Huddersfield - office x 5 days per week.

**Base Salary**: 30-40K GBP

**Bonus**: Up to 10% salary payable annually and linked to KPIs

**Healthcare**: 1200 GBP payable towards existing private insurance or eligibility to join Company scheme

**Pension**: Matched at 5% and 5% (employer/employee contributions)

**Annual Leave**: 25 Days

**Car**: Not eligible

**Other**: Excellent sick leave and other wellness support offering, L&D/training programme, Supersonics Reward programme. Mobile phone/laptop etc. provided

**Location**: Role is office-based due to nature of work (Huddersfield) so proximity to office OR ability/willingness to commute daily a must

**Hours of work**: 35 hours per week (8.30am - 4.30pm daily) Earlier starts may be required to support delivery of equipment etc.

Role - Reporting to the Service Manager, EMEA this role will have primary responsibility for ensuring the smooth and effective operations of our business in Ireland and (Rest of EMEA as required).

A key focus for the role will be accountability for business supports including: order management and fulfilment (including the coordination/management of fulfilment and logistics partners); client/customer

queries; support for the sales and servicing teams as needed and general business support administration.

Key tasks to include -- Day-to-day running of the office, ensuring a pleasant, collaborative, environment for our team and clients/customers.
- Executive support as required, including travel arrangements, accommodation, and processing of expense claims.
- Manage order-to-cash processing including the processing of EMEA direct and distributor orders using ERP system.
- Manage export/import shipments including organising export shipments to Ireland and Rest of EMEA markets and follow-up import shipments from Global HQ in compliance with local customs regulations with freight forwarders.
- Customer service to internal and external stakeholders:

- External - liaison directly with EMEA customers (distributors and end-users), other strategic partners and suppliers and provide support requested in a reliable and timely manner.
- Inventory management including links to our fulfilment / warehousing / logistics partners to ensure that stocks of products and office supplies are always on hand.
- Documentation maintenance relating to product shipments and customer support as required by QMS.
- General administrative support (incl. travel bookings, basic bookkeeping etc.).
- Any other duties as deemed necessary to support the business.

Applicant - Applicants for this position will have experience working in autonomous roles similar in title /nature to Business Support and Operations Executive (or Manager)/ Office Manager / Administration Manager etc.

They will have a minimum of 2 years commercial experience and be able to thrive in a fast-paced environment and prioritise workloads and show a commitment to getting things done. Experience in Account Management / Accounts Payable / Finance is highly advantageous.
