Job Summary / Goals
The Workplace Ambassador (WA) reports to the Facilities Representative and is the local point of contact for all facilities related matters for the site. The WA will direct, co-ordinate and escalate appropriately facilities related matters.

The WA has ownership of the Front of House services and is responsible for managing the front of house services and providing the reception services.

They are responsible for providing support to ensure facilities services are provided in an effective and efficient manner. As front of house support the WA must also demonstrate a high level of security awareness at all times and have knowledge of emergency evacuation procedures and Health & Safety.

The WA functions as a JLL professional who assists the FM team supporting the management of service delivery in their assigned buildings. The WA is responsible for assisting in all aspects of client and tenant satisfaction.
Additionally, the WA is responsible for representing Jones Lang LaSalle in the local and regional business and real estate community in order to promote Jones Lang LaSalle’s reputation and capabilities to prospective tenants, clients and The Client.

Essential

**Responsibilities**:
Customer Service
Manage the FoH services
Maintain the FoH area’s in good order
Administration of parking spaces for visitors and employees
Arrange taxis for client staff and visitors are requested
Book onsite meeting rooms and hospitality as per client requests and according to site procedures
Provide contractor management as required in the form or Induction and authorising low risk works.
Support Aon with queries and requests as and when required.
Reception and associated activities e.g. arranging taxis and meeting room bookings
Provide hospitality services in locations where required

HSE, Security & Quality
Demonstrate permanent high level of security awareness, knowledge of emergency
evacuation procedures, procedures for visits from local authorities as well as general Health
& Safety
Issuing of ID and access badges for new hires/vendors/visitors and maintaining record of same.
Monitor and maintain office and badge consumables in line within agreed stock levels.
Maintain the security sign-in book
Understand & actively support JLL’s Quality Management program
Maintaining records in accordance with procedures

Site Operations
Conduct daily meeting room checks when in satellite offices or as required by Facilities Representative
Prepare & serve hot beverages, layout & clear away catering when in satellite offices or as required by Facilities Representative
Handle/Assist with incoming and outgoing mail enquiries according to the existing procedures
Assist in coordinating the repair and maintenance of office equipment and assets and in the ordering in of office supplies.
Ensure accurate and detailed hand over is planned & passed on (for tasks for within responsibility), if absent from the business

Additional

**Responsibilities**:
Promotes high level of satisfaction among property management team members and The Client users by promptly responding to their service requirements. Assures prompt response by other team members and selected contractors through dispatch, voice mail and / or other direct contact
Provides administrative support to the Facilities Representative
Acknowledges role as management office “ambassador”. Ensures that the firm’s image is reflected through proper telephone and reception procedures, and quality service. Greets guests and visitors to the management office and effectively deals with their concerns by exhibiting a professional, mature, courteous, gracious and efficient manner
Porterage activities
Maintaining stationery, hub areas for client
Re-stocking of consumables
Visual site tours and inspections
Point of contact for customer if only JLL representative on site, providing guidance and assisting in proactive FM services
Complete mail room services cross training to provide flexible cover for minor mail room duties as and when required
Will be required to conduct ad-hoc high touch point sanitising
Assisting the FM team on the compliance software platform where necessary
