**Role Summary**

The role of Student Wellbeing Services Co-Ordinator will assist in the provision of an efficient, professional service to both students and staff. The post holder will be responsible for providing high level of administration support for Student Wellbeing Services and will also work directly with students, staff and stakeholders (face to face, telephone, online) by co-ordinating support services and escalating concerns where necessary.

The post holder will be required to work flexibly to meet the demands of the service, including occasional weekends and evenings.

**Main Duties**

**Administration**
- Work collaboratively to co-ordinate all aspects of administration between the Student Wellbeing Services.
- To maintain daily triage communications to students ensuring that they are sent within expected time frame and proactively manage student queries coming into the Service ensuring swift responses.
- To be ‘first port of call’ for administering the University’s Vulnerable Student Escalation Process, working in partnership with Wellbeing teams across the institution.
- To support the coordination of the Wellbeing Development Programme, a training programme for University of Birmingham staff.
- To co-ordinate on all aspects of Student Wellbeing Services administration to include, but not limited to, systems and support functions which monitor recruitment, induction, finance, student and staff communication.
- To support the service management team in the coordination of committees and working groups, acting as Committee Secretary where appropriate.
- To maintain accurate data and extensive records of Service usage and engagement.
- To lead on the continuing review and development of administrative processes to ensure that efficiency and improvements are considered and ongoing.
- Managing room booking systems and meeting requests.
- Video editing and website administration would be desirable.

**Supporting Students**
- To proactively manage the student waiting experience by monitoring and communicating with students about appropriate signposting and/or resources, escalating issues of concern where needed and keeping accurate case notes following contacts made.
- To support student escalations from the Student HUB and Schools/Colleges
- To respond to queries from staff, students and other stakeholders regarding students causing concern and general service queries.
- Support risk management using established internal and external procedures and services
- To work proactively with partners cross-institutiona
