The post holder will be responsible for supporting the Band 5 Administrator for the overall coordination and delivery of administrative support at Simmons House and undertake a variety of administrative and secretarial tasks as part of this role.

The Post Holder will act with the Band 5 Administrator as one of the Mental Health Act Administrators for Simmons House General Adolescent Unit responsible for ensuring the statutory requirements of the Mental Health Act are met.

The post holder will be supervised and line managed by the Band 5 Senior Administrator.

We have an exciting opportunity for an experienced Band 4 Administrator to join our team on a permanent basis. This post offers a rare opportunity to work in the exciting and interesting field of adolescent psychiatry.

Simmons House is a 12 bedded in-patient unit for adolescents 13 - 17 years of age with severe and complex mental health needs. The unit operates a therapeutic milieu, which aims to establish an ethos where both the individual and group are respected.

We pride ourselves in working collaboratively within a well-supported and well supervised multi-disciplinary team where we encourage our staff to use and develop their skills, getting involved in many aspects of the care of our young people in an adolescent hospital setting.

The role of Band 4 Administrator is to support our team and is fundamental to the care and wellbeing of the young people we work with.

We are committed to supporting our administrators day to day and with ongoing professional development and opportunities to develop skills with in-house training within the Simmons house team, our wider CAMHS service and other training opportunities.
- To support the senior Administrator in maintaining an efficient and organised office system, implementing changes and improvements where necessary.
- Alongside the senior Administrator to undertake all the duties and responsibilities as the Mental Health Act Administrator ensuring the statutory requirements of the Mental Health Act are met as and when needed
- To deal with telephone queries and disseminate messages to the relevant professionals.
- To greet parents, visitors and other professionals recording their arrival / departure, offering the water/tea/coffee.
- To support the senior administrator in preparing Welcome packs ready for new admissions for young people and their parents/carers.
- To deal with package deliveries for patients and staff.
- To support the senior Administrator with balancing the postage book, taxi spend and produce reports of this spend.
- To support the senior Administrator to place orders of stationery and other equipment on the PECOS procurement system, ensuring prompt delivery.
- To support the senior Administrator in processing any invoices incurred by the unit and liaising with suppliers or NHS accounts payable department where necessary.
- To support the senior Administrator to manage the funds and collection of the Madeleine Coleman Trust and the Training Fund.
- To minute, type and disseminate the notes of the weekly administration meeting.
- To create files for new patients on the shared drive and upload documents received from clinical staff.
- To register patients on RiO ensuring that any information recorded is accurate and up to date.
- To open referrals and admit new patients on RiO, uploading their Form 1, any other correspondence and assigning a consultant.
- To allocate a hospital number to new admissions from Medway (live).
- To discharge patients on RiO ensuring that leaving summaries and other information is uploaded and distributed as necessary.
- To archive discharged patients' files and/or retrieve files from Iron Mountain, as necessary.
- To unblock RiO cards for clinical staff
- To collate patient bed day information in the form of a monthly activity report and produce other statistical reports where necessary.
- To collate and submit the SMH DQ data spreadsheet on a monthly basis.
- To collate staff's monthly absence and sickness information on Health Roster.
- To update staff's DBS and appraisal dates.
- To assist the Clinical Service Manager and the team in preparing for CQC visits and the QNIC appraisal & accreditation process.
- To assist in reporting faulty equipment in the unit.
- To assist with visitors' parking when required by contacting OPC parking reservations.
- To act as one of the fire wardens for the unit an
